Position Overview :
Under the supervision of the WIC Assistant Director, the WIC Administrative Assistant performs clerical duties, is responsible for administrative support to the WIC Program and maintains and audits fiscal inventory. Responsibilities also include assisting WIC sites with client services on occasions. The WIC Administrative Assistant works closely with the WIC Director and the Program Coordinators.
Duties & Responsibilities :
- Orders and maintains office supplies for the administrative office and WIC sites and maintains store room in an orderly manner.
- Oversees and manages formula inventory in TXIN and coordinates formula donations.
- Compiles WIC clinics' EBT Weekly / Monthly Reports and manages EBT card inventory.
- Oversees and distributes interdepartmental office mail daily and collects and forwards voter registration cards to Harris County Tax Assessor Collector & Voter Registrar office.
- Handles telephone inquiries and directs calls to appropriate staff.
- Participates in annual administrative audits and completes fiscal audits bi-annually as required by Health and Human Services Commission (HHSC).
- Enters and retrieves data on various software programs used by WIC. Oversees and manages fiscal inventory / maintains WAMS (WIC Asset Management) inventory database.
- Provides training to new staff related to WIC food benefits and provides technical assistance to clinic staff relating to minor computer problems or changes in procedures.
- Assists in handling inquiries from other WIC Agencies and State regarding client information and helps resolve problems relating to transfers and Dual Participation. Assists with client services at the WIC sites when needed.

Requirements
Education :
High school diploma or G.E.D.Experience :
At least two (2) years of experience in a clerical position.Data entry experience.Valid TX Driver's license.Knowledge, Skills and Abilities :
Excellent communication skills (verbal & written).Ability to demonstrate good judgment when needed to resolve any client concerns.Ability to maintain effective working relationships and foster teamwork in a diverse environment.Ability to identify customer needs and expectations and respond in a timely and effective manner.Ability to assist WIC sites with client services.Ability to provide technical assistance to staff with day-to-day minor computer problems is desirable.Core Competencies :

Position Type and Typical Hours of Work :
Full-Time | Grant-fundedDays and hours of work are typically Monday through Friday from 8 : 00am to 5 : 00pm. Must be willing to flex work hours when required, including weekends.Able to travel within Harris County as needed.Work Environment :
This job operates in a professional office environment which routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.Physical Demands :
This is an active role with a high level of movement throughout the office; Some duties would require the ability to lift up to 20 pounds. This job may involve bending and standing for long periods of time.Work Location :
