Purpose of Position

The Scheduling Specialist role is responsible for the development of the next day flight schedule by assigning Owner flight requests to NetJets aircraft and crews in the most efficient manner.

The Scheduling Specialist is the primary point of contact for the crew member to the Scheduling Center. The Scheduling Specialist role is responsible for gathering and disseminating information from crewmembers and supporting departments that are directly involved in the day-to-day operation of the Company.

Proactively and reactively communicating the details of a crewmember's duty day. The team of Scheduling Specialists are responsible for scheduling and communication for a fleet in excess of 600+ aircraft and approximately 3,000+ crewmembers.

The Scheduling Specialist must ensure safety is paramount while also maintaining exceptional service to external & internal customers.

The Scheduling Specialist is responsible for maintaining all aspects of the current day flight schedule including the communication of required changes.

Tasks and Responsibilities

Monitor the next day flight schedule created by Fusion. Incorporate new bookings, maintainence events, and changes to bookings into the flight schedule.

Build and maximize recovery capacity into the schedule. Refine and maintain the flight schedule while also using all available resources for Recovery Resource Management.

Objective is to continuously search for opportunities to reduce schedule cost while keeping a robust schedule in a dynamic enviroment.

Responsible for providing optimal solutions for all Service exceptions using available technology tools.

Communicates important information in a timely manner to all business units including Crewmembers, Owner Services, Maintenance and Dispatch.

Responsible for escalating key issues to Scheduling Specialist, Senior. Responsible for proactive and reactive briefing of crew members on all aspects of each trip and duty day both electronically and / or verbally.

Will work to maintain and build relationships with our crewmembers and flight center partners.

Ensure that all quality standards for service and unique Owner requests are met. Implements a Safety then Service mentality in all planning and communications.

Responsible for compliance with two union agreements with crewmembers are met. Ensure that FAR compliance for the crews and aircraft are met.

  • Builds relationships with Crewmembers to ensure a positive experience for both the Crew and Owners by providing the Crew with detailed information on why situations are occuring or changing, etc.
  • Attend Core Learning and Shadowing classes found through Global Campus to enhance company business accumen. (Labor Relations, Crew Resource Planning, Subcontract Services, Flight Mission Delivery, International Trip Planning, Owner Contracts and Billing).

  • Bachelor's degree or Aviation experience preferred
  • Previous experience in a fast-paced, dynamic work environment and the ability to multi-task are crucial to this position
  • Ability to communicate in a professional manner with internal and external customers (email, AFIS, Crew Comm, inbound calls, 3-way calls)
  • Partner with internal partners to increase capacity e.g. (Base, Unscheduled, Line Planning Maintenance Teams)
  • Previous experience in aviation is preferred
  • Ability to manage, make decisions, and problem-solve with multiple competing variables and priorities
  • Strong customer service and team focus through proactive communication
  • Must be detail-oriented and persistent with following-through on any job related function or task
  • Must be proficient with IntelliJet, Crew Comm, Ops checks
  • Basic knowledge of geography (domestic & international)
  • Basic knowledge of Aviation weather and NOTAM's
  • Ability to proactively identify challenges and anticipate alternative options
  • Maintains a strong sense and understanding of the NetJets business model and the 20 / 20 Flight Plan
  • Effectively integrates logistical decision making and uses sound judgement to deviate from established policies and procedures to allow for crew members to focus on their specific responsibilities at hand
