About the Role
We are seeking a detail-oriented Project Coordinator to support project managers and business operations. In this role, you'll focus on the administrative and organizational aspects of large-scale installation projects (fire alarm systems for distribution centers). You'll play a key part in scheduling, tracking milestones, managing resources, and ensuring smooth communication between internal teams, clients, and vendors.
This is a hands-on, fast-paced role where you'll help keep projects on track and provide visibility to leadership. While prior construction industry experience is a plus, strong organizational skills and customer focus are most critical.
Responsibilities
- Coordinate project schedules, including start dates, milestone tracking, and final acceptance activities.
- Support project managers with administrative tasks to reduce delays, scope creep, and slippage.
- Manage project data and updates in Salesforce CRM and client tools.
- Schedule internal resources for site visits and ensure time / expenses are accurately logged.
- Prepare and deliver project status updates for leadership.
- Facilitate internal Work-in-Progress meetings and capture / distribute meeting notes.
- Serve as a liaison between clients, vendors, and internal teams—ensuring smooth communication and positive customer experiences.
- Gather customer feedback and share with internal stakeholders.
- Document processes, identify inefficiencies, and recommend improvements.
- Maintain strong professional relationships and act as the "voice of the client."
Required Skills & Experience
3–5 years of experience in project coordination, project support, or business operations.Strong organizational and multitasking skills in a fast-paced environment.Excellent communication (written and verbal), listening, and note-taking abilities.Customer-focused mindset with patience and problem-solving approach.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).Familiarity with Salesforce CRM (data entry, updates).Ability to work independently, anticipate needs, and take initiative.Positive, flexible, and proactive attitude.Preferred Qualifications
