Position Title : ADMINISTRATIVE ASSISTANT
Locations : San Francisco, CA
Worksite : Onsite at the assigned FPS District Office
Position Type : Full-Time
Rate : $29 - $32 per hour
Work Hours : Monday–Friday, 8 hours / day, during standard business hours
Position Overview :
The ADMINISTRATIVE ASSISTANT provides a full range of administrative and clerical support services to the Federal Protective Service (FPS) Region 9 District Commanders and Area Commanders . This position ensures smooth daily operations by managing correspondence, scheduling, records, and communications within the district office and between FPS and external stakeholders.
Key Responsibilities :
- Manage front-office operations, greet visitors, and handle inquiries professionally.
- Answer and route telephone calls, emails, and correspondence; maintain communication logs.
- Schedule and coordinate meetings, teleconferences, and prepare meeting agendas and minutes.
- Maintain calendars for district and area leadership.
- Prepare, review, and edit routine correspondence, reports, and official documents.
- Maintain and organize office filing systems (both electronic and paper).
- Support budget tracking and preparation of administrative reports.
- Track incoming / outgoing documents, maintain personnel or project files, and update tracking systems.
- Enter administrative, HR, or logistics data into FPS systems as required.
- Handle sensitive or classified materials following DHS security and confidentiality protocols.
Minimum Qualifications :
Education : High school diploma or equivalent (Associate degree preferred).Experience : Minimum of 2–3 years of administrative or secretarial experience in a professional or government office setting.Eligibility : Must pass DHS suitability screening and pre-employment background investigation.Security Clearance : Ability to obtain and maintain a Public Trust (T1 / NACI) clearance due to access to DHS facilities and systems.Skills & Competencies :
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Access) and other Windows-based applications.Excellent grammar, spelling, and attention to formatting detail.Strong interpersonal and communication skills to interact professionally with federal staff and the public.Exceptional organizational skills and ability to manage multiple tasks with minimal supervision.Dependable, self-motivated, and able to maintain confidentiality and professionalism at all times.Work Environment & Conditions :
100% onsite at the assigned FPS District Office.Standard office setting with routine use of computers, telephones, and other office equipment.Must adhere to DHS IT security and network access policies.Security Requirements :
Must comply with Department of Homeland Security (DHS) citizenship and clearance standards.Completion of IT Security Awareness Training and DHS Rules of Behavior prior to system access.
