Job description

New York Client Events Coordinator

Foley Hoag seeks an organized and enthusiastic New York Client Events Coordinator to join our Business Development team in New York. This role is ideal for a high-performing professional with a strong foundation in events management, client engagement, or business development who is looking to elevate their expertise in an award-winning, innovative international law firm. Reporting to the Senior Business Development Manager, the Coordinator will play a vital role in driving the firm's growth initiatives through strategic support of client retention, business development, and event programming across practice groups and industry sectors. The ideal candidate will be detail-oriented, proactive, and skilled at managing multiple stakeholders and deadlines.

This hybrid role requires in-office presence in our New York office at least three days per week to foster collaboration and connection. The onsite expectation is Tuesday, Wednesday and Thursday of each week; however, specific onsite days may be adjusted at the discretion of your supervisor based on business needs. This role also requires the flexibility to work overtime, as needed, to meet business and operational demands.

Responsibilities

  • Maintain and update calendar of relevant events, conferences, and sponsorship opportunities across the New York Office's practice and industry groups.
  • Prepare and distribute run-of-show documents, final details, attendee reports, and other event materials to internal stakeholders in advance of events, including background information on attendees and strategic objectives for engagement.
  • Manage attendee lists and coordinate registration and ticket purchase for lawyers.
  • Monitor the legal and business community landscape for upcoming events, surfacing opportunities for lawyers to deepen client relationships and develop new business.
  • Maintain awareness of developments at events both inside and outside the office, relaying relevant intelligence back to the broader business development team.
  • Schedule structured debrief sessions with attending lawyers to capture insights, assess the success of engagement efforts, and identify follow-up actions.
  • Maintain a repository of event intelligence to inform future planning and strategy.
  • Document outcomes, track new contacts, and update CRM records accordingly.
  • Ensure that follow-up items are routed to the appropriate attorneys or business development colleagues for further action.
  • Build and maintain strong internal relationships across the New York Office, cross-office legal departments and practice areas.
  • Act as a connector within the New York office, ensuring that attorneys attending events are aware of relevant colleagues, matters, and client relationships throughout the firm.
  • Proactively share information across teams to break down silos and maximize the firm's collective business development efforts.
  • Serve as a resource for attorneys seeking introductions, background research, or coordination with other departments ahead of client-facing engagements.
  • Support special projects as assigned.
  • Perform a variety of administrative tasks and provide general support to the New York Business Development function as assigned.

Qualifications

  • Education and prior experience: Bachelor's Degree required, preferably in marketing, communications, or a related field. Two or more years of experience in business development, events management, or client services, preferably within a law firm or professional services environment.
  • Project management: Demonstrated project management experience with the ability to manage multiple projects simultaneously without sacrificing quality.
  • Client service: Ability to manage competing priorities and respond quickly to inquiries to serve as an ambassador of superior internal client service.
  • Communication skills: Ability to effectively communicate in both verbal and written formats; comfort interacting with attorneys at all levels, clients and external contacts.
  • Work style: Ability to prioritize competing stakeholders and deadlines with a pleasant and professional demeanor. Proactive self-starter who is comfortable working independently and exercising sound judgment in a dynamic environment.
  • Technical proficiencies: Proficiency in using Microsoft Office (Excel, Outlook, Word, PowerPoint); project management tools (e.g., Smartsheet, Asana); and familiarity with CRM systems and event management platforms. Ability to quickly get up to speed and master new applications and software is critical. Adept at using prompts in AI tools.
  • Other: Ability to work outside of standard business hours.

Compensation range is $76,700 to $95,900 commensurate with related experience and qualification. The salary of the candidate selected for this role will be set based on a variety of factors, including but not limited to internal equity, experience, specialty, and training. The above salary range (or hiring range) represents the firm's reasonable estimate of the range of possible compensation at the time of posting.
