Executive Assistant

Microsoft Monetization Ads, MSN and Shopping team is seeking an Executive Assistant to provide comprehensive administrative support and customer service to an engineering CVP and our teams, which comprise over 100 full-time employees. The ideal candidate for this role needs to navigate a fast-paced environment, be agile and embrace changes, be able to multi-task, have excellent interpersonal skills, take initiative, demonstrate good judgment, and must maintain a high level of confidentiality. They must set priorities while executing multiple tasks simultaneously. The candidate must build trust through consistent and timely follow-up, with excellent clarity in communication. You would be joining a team of diverse group of Administrative Business Support professionals who appreciate the value of customer services and teamwork. Responsibilities

  • Calendar : Proactively manage the complex calendar of busy CVP level engineer - making decisions on behalf of executive based on shifting business priorities to ensure accurate scheduling and appropriate allocation of time.
  • Team Support : Provide team support for over 100 employees, including headcount management, budget, morale events, distribution group management, onboarding / offboarding and other tasks / projects.
  • Pace : Manage space coordination, new employee setup, and procurement of goods and services including computer equipment, office supplies, reference materials and facility requests.
  • Communication : Build and maintain good business relationships with executive level and counterpart administrative staff, both internally and externally accommodating differing working styles and perspectives of diverse individuals and groups. Must be assertive and have a high level of integrity and consistently demonstrate a positive can-do attitude with the ability to maintain the confidentiality of sensitive material with tact and professionalism.
  • Admin Team Building / Support : Work as part of a strong admin team to manage the needs of the overall organization.

Qualifications

Required Qualifications :

  • 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings / events, travel management, and administration work for executive / upper level management.
  • 4+ years of experience providing administrative support to a senior executive.
  • 4+ years of experience with executive calendar management
  • Preferred Qualifications :

  • 8+ years of high-level administrative experience in a fast-paced environment.
  • Demonstrated administrative experience, customer services or equivalent work experience in a fast-paced environment.
  • Microsoft Outlook calendar management experience.
  • Planning and organization skills, positive attitude, and willingness to learn.
  • Ability to prioritize work and complete projects on time, demonstrate drive and initiative, maintain confidentiality of information.
  • Ability to pay close attention to detail and able to monitor complex plans and schedules and react with appropriate urgency to situations and events that require quick response or turn around.
  • Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $30.29 - $50.53 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $41.83 - $57.88 per hour.
