Administrative Assistant

Shift : Day Shift (7am 3 : 30pm, M-F)

Purpose of the Position :

This is the senior level member of the Administrative support team in the organization. Similar to Administrative Assistant 1 role, the purpose of the position is to support sales and operations in all administrative responsibilities, provide customer service to both internal and external customers, and process data to provide all operational departments with necessary information and documentation to complete work orders and timely / effective distribution of product.

Additionally, since this is the senior level Admin role, the incumbent is expected to work mostly independent, utilizing available data & experience to determine and resolve issues.

This position is expected to provide training and work direction to other Administrative personnel and be relied upon to complete more complex tasks.

Major Duties :

  • Develop Data and utilize to make recommendations
  • Will be assigned role of resolving complex problems with little to no oversight by management
  • Provide work direction and training to other department administrative personnel
  • Maintain daily auditing to resolve discrepancies, errors or omissions
  • Review branch paperwork to assist in resolving missing data for receiving’s, certifications, etc.
  • Research certification issues for internal and external customers, and make appropriate corrections
  • Compile certification packets and distribute internally and externally, as required
  • Batch assembly, monitoring, and closing as required to maintain warehouse production
  • Monitoring incoming requests folders from inner office departments
  • Answer and direct phone calls
  • Schedule and lead incoming deliveries
  • Perform other un-defined duties as would be deemed appropriate and necessary by facility supervision or leadership

Minimum Qualifications :

  • High school diploma or GED required.
  • Some college-level courses preferred
  • Minimum of 3 years progressive experience in administrative role
  • Office, customer service and phone experience required
  • Experience in Transportation scheduling deliveries is desired
  • 10 Key and data entry / typing, speed and accuracy is required
  • High degree of proficiency with MS Office software, and knowledge and experience with other software applications highly preferred - demonstrated ability to develop complex spreadsheets, develop presentations and project plans
  • Ability to compose written communications based on general information
  • Ability to work well with others in a fast-paced team environment.
  • Ability to work independently and make decisions based on information that is developed
  • Ability to communicate effectively, orally and in writing.
  • Ability to multi-task and handle workloads of varying volume
  • Ability to maintain organization and complete tasks while functioning a in a fast-pace team environment.
