Job Summary
The Sales Support Specialist will be responsible for ensuring smooth and accurate processing of sales orders, maintaining communication between departments, and supporting the sales team with administrative and customer service tasks. This role involves inputting purchase orders, managing order status, assisting with vendor documentation, and performing data entry to ensure timely and accurate fulfillment. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced environment. They must possess excellent communication skills and the ability to coordinate effectively with internal teams, vendors, and customers to ensure a seamless order management process.
Essential Duties And Responsibilities
Accurately enter customer purchase orders into the company's ERP or CRM system.
Order Processing & Management
Review orders for accuracy, pricing, lead times, and special instructions.
Monitor open orders and provide status updates to customers and sales representatives.
Collaborate with logistics, procurement, and accounting teams to ensure timely fulfillment and invoicing.
Manage order changes, returns, and adjustments in accordance with company policy.
Customer Communication & Support
Communicate with customers via email and phone regarding order status, shipping updates, and inquiries.
Provide prompt, professional, and courteous responses to customer questions and issues.
Assist sales representatives with customer documentation, quotes, and order follow-ups.
Support the resolution of customer concerns by coordinating with relevant departments.
Cross-Department Coordination
Work closely with procurement, logistics, and warehouse teams to ensure smooth order flow and issue resolution.
Communicate special order requirements or delays to internal teams and customers.
Ensure order-related information is accurately shared across departments.
Vendor & Administrative Support
Complete and maintain vendor forms and compliance documentation.
Assist with customer and vendor account setup, including credit applications and profile updates.
Perform data entry and maintain organized digital records for orders, invoices, and correspondence.
Support the sales team with administrative tasks as assigned.
Metrics
Accuracy rate of order entry and data input.
On-time processing and fulfillment of customer orders.
Customer satisfaction and response time to inquiries.
Reduction in order errors and delays.
Timeliness and accuracy of vendor documentation and forms.
Internal communication and coordination effectiveness.
Qualifications
Bachelor's degree in Business, Administration, or related field (or equivalent experience) preferred.
2+ years of experience in sales, customer service, or administrative coordination preferred.
Strong attention to detail and organizational skills.
Excellent written and verbal communication abilities.
Proficiency in Microsoft Office Suite and ERP / CRM systems (experience with NetSuite, Salesforce, or similar preferred).
Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
Strong customer service orientation and professional demeanor.
Experience with vendor documentation and form completion preferred.
Education & Experience
Bachelor's Degree required or equivalent relevant work experience in sales support or administrative operations.
Physical Demands
Continuous sitting due to computer and phone usage for extended periods.
Occasional walking, reaching, and lifting of office materials or packages.
Employee Evaluation Summary
Introductory Review Conducted approximately 80 days after employment to assess performance and fit.
Monthly Reviews Focused on accuracy, communication effectiveness, and task completion.
Annual Reviews Comprehensive evaluation of performance, process improvement, and overall contribution to team success.
Work Schedule
Hours will align with the needs of the sales and operations departments. Standard hours are 8 : 00 a.m. 5 : 00 p.m., Monday through Friday, with additional time as required to meet departmental objectives.
Work Environment
Professional office or hybrid work environment. Business-casual dress code. Employees are expected to maintain professionalism and adhere to company standards for communication, accuracy, and collaboration.
