The California Endowment (TCE) is entering a new strategic planning process to ensure we can support our grantee partners and communities with renewed urgency, focus and effectiveness. Our new strategic plan will be ready to launch in 2027 and in the meantime, we are implementing a Bridge Strategy, to respond quickly and strategically to our current times.
The California Endowment is seeking Administrative Coordinators – organized, resourceful professionals who bring clarity and coordination to complex work, helping teams advance community health and equity. This is a hybrid role and candidates are expected to report to either the Los Angeles or Oakland or Sacramento Office two days a week (or more as needed).
The Administrative Coordinator provides day-to-day operational support to ensure the team runs smoothly and efficiently. The Coordinator is responsible for organizing workflows, tracking action items, events and meeting coordination, logistics across projects, and supporting team collaboration to keep priorities on track.
The core accountabilities of the Administrative Coordinator role are consistent across the organization and are outlined below. In addition to the core accountabilities, each department has specific focus areas, as detailed in the chart below :

Execute grantmaking of the expanded investment based on board-approved enterprise-wide framework and proposed 2025-2027 budget allocations
Upspend team will focus on cultivating new partner relationships to implement accelerated funding in priority / most impacted communities.
Systems Transformation Team
Execute grantmaking that shifts systems, including community development systems (link here for more information on our systems transformation work) and ensure existing partners are thoughtfully supported through 2027
Systems Transformation will focus on maintaining existing partner relationships for continuity of key initiatives while developing exit / transition strategies.
Strategic Planning Team
Collect and synthesize internal and external learning from TCE's current strategies across the enterprise to inform, design, and execute 2026 strategic planning
Strategic Planning will focus on evaluating cross-portfolio outcomes and engage stakeholders in the co-creation process.
Position Accountabilities
Team Project / Event Management :
- Coordinate assigned project activities by tracking deadlines, organizing materials, scheduling meetings, following-up on action items, and ensuring accurate documentation to support project goals.
- Coordinate logistics for team meetings, gatherings and other convenings; assemble materials (e.g. invitations, agendas, PowerPoint presentations, etc.), attendee communication, take meeting minutes and notes for distribution, and provide on-site support during events.
- Supports special projects and strategic initiatives as assigned, tracking deadlines and deliverables for the team.
Operations & Processing :
Review for accuracy, prepare and / or process department invoices, requisitions, expense reports, contracts, in a timely fashion in accordance to the TCE finance policies and procedures.Maintains supplies and inventory to ensure maximum productivity, including supplies necessary to conduct meetings and retreats (e.g. flip charts, post-its, sharpies, etc).Support budget management by tracking expenses and maintaining accurate financial records, support forecasting, and ensure accurate reporting to inform strategic decision-making and resources allocation.Manages team calendars, scheduling of events, understanding team's prioritiesCoordinates and books travel as needed, understanding scheduling requirements to book with maximum efficiency. Preparation of itinerariesInformation Management :
Create and maintains digital filing system (Box.com) for assigned team.Conducts research, compiles data, and prepares reports as requested.Accurately enters and updates data and maintains the integrity of relevant databases.Assist with reviewing department administrative process to help keep work organized, efficient, and participate in evaluation of new technology tools.Handles confidential responsibilities such as reviewing incoming documents, conducting research, and preparing reportsCommunications & Correspondence :
Serve as primary point of contact and gatekeeper for internal and external stakeholders including screening and directing phone calls / emails.Prepares draft and final correspondence following defined parameters and guidance. Reviews correspondence received and determines appropriate action; routes materials to appropriate individual both in / outside dept.Edits materials written upon requestMay serve as liaison to all other TCE offices and provides admin support to various inter departmental groups and meetings as requestedIn the absence of leadership, promptly refers to the appropriate party or department and follows up to ensure problem resolution.Desired Knowledge, Skills & Abilities

Familiarity with project management tools a plus.Minimum Experience
5 years administrative , office management, or team support experience, preferably in a fast-paced, cross-functional, or nonprofit environment.Combination of relevant professional experience and training typically gained through an undergraduate degree or equivalent practical experience.Salary Range
Target Range : $32.10 / hr - $40.13 / hr (non-exempt)
Full Range : $32.10 / hr - $40.13 / hr - $48.15 / hr (non-exempt)
