This role reports to the Senior Executive Coordinator and is based at our Fairfield, NJ location, with working hours from Monday through Friday, 8 : 30 AM to 5 : 30 PM.
Guest Relations
Our Office Assistant is the first impression of our brand. This role ensures every visitor is welcomed with grace, attentiveness, and seamless hospitality by :
- Monitoring guest communications and anticipating upcoming visits or events
- Warmly greeting all guests with a polished, professional introduction
- Ensuring all visitors are properly documented and visibly identified for staff awareness
- Notifying internal teams of arrivals and assisting with meeting space preparation
- Maintaining an immaculate, inviting reception area that reflects our standards
- Providing clear directions to amenities and escorting guests upon departure
- Collaborating with internal teams to deliver a refined and effortless guest experience

Partnering with the Senior Executive Coordinator and cleaning teams to uphold pristine shared spacesManaging inventory and procurement of kitchen, bathroom, and office suppliesPerforming daily upkeep of kitchen appliances, including the coffee machineMaintaining vendor relationships for supplies and rental equipmentMonitoring building conditions and reporting issues promptlyServing as the on-site liaison for external vendors and inspectionsSorting and distributing mail and deliveries with careCoordinating pickup logistics for New Jersey designersEnsuring conference rooms and shared workspaces remain tidy and welcomingAssisting NJ Showroom Staff with hospitality and supply needsExecutive Support Responsibilities

Acting as backup support to the Senior Executive CoordinatorCollaborating on event planning and executive initiativesServing as a reliable and proactive partner to designated executivesManaging complex calendars, coordinating meetings, and resolving scheduling conflictsScreening and responding to calls, Teams messages, and emails with discernmentPreparing meeting materials, agendas, and presentations with polish and accuracyCoordinating seamless travel arrangements, including flights, accommodations, and logisticsTracking and reporting expenses with precision and timelinessAnticipating executive needs and delivering thoughtful, proactive solutionsBuilding and maintaining strong relationships with internal and external stakeholdersSupporting additional tasks and responsibilities as assignedWhat You Bring to the Table
