Administrative Assistant
The City of Virginia Beach Department of Human Services is seeking to hire an Administrative Assistant for the Pathways Center. The preferred candidate will be an excellent communicator, both in writing and verbally, who is responsive, very organized with a high level of computer literacy, experience utilizing Microsoft Office Applications and similar office products and able to analyze data and produce reports. Experience working with people who have mental illness and / or substance use history is highly desired.
Duties :
- Process purchase requisitions and accept orders.
- Supervise the PT clerk and FT cook.
- Provide monthly supervision to supervisees, interim and yearly evaluations and provides guidance and discipline as needed.
- Perform needed functions in medical records and assist staff who have difficulties with the CHR.
- Make travel accommodations for staff for conferences and training.
- Track Medicaid eligibility and authorizations
- Collect payments from individuals receiving services
- Take notes in meetings, prepares staff meeting minutes.
- Purchase necessary equipment for the unit, orders equipment repairs in a timely manner and makes unit repair calls to building maintenance.
- Ensure reports are run as outlined, weekly and monthly.
- Serve on committees as assigned.
- Assure that staff receives appropriate training and tracks all trainings for the units.
- Ensure billing is submitted into the CHR for records requests.
- Ensure no information is released from the facility unless proper ROI is provided and coordinates to get a proper ROI.
- Write letters and reports as directed from members of the Leadership Team.
- Assist Leadership Team Members with forms for process of hiring.
