Reports to : Artistic Director and Head of Curriculum, Toledo Ballet
The Production Manager for Toledo Ballet works closely with the Artistic Director and Head of Curriculum at Toledo Ballet to facilitate the needs of Toledo Ballet productions. This position is responsible for planning, executing, and overseeing all aspects of stage management related to auditions, rehearsals, performances, and production logistics. This individual works closely with artistic staff, choreographers, dancers, designers, and technical teams to support and uphold Toledo Ballet's artistic vision and performance standards. The Production Manager provides support to the Artistic Director and Head of Curriculum to ensure the smooth operation of classes, workshops, and other ballet programs. The Production Manager is the primary point of contact for Toledo Ballet families and faculty regarding rehearsals, production updates, and their related schedules.
The ideal candidate is experienced in managing large-scale productions and has a strong background in working with student and professional dancers and union-operated venues. Experience and / or background in ballet or dance is preferred. The Production Manager reports to the Artistic Director and Head of Curriculum and works closely with TAPA production staff, the Vice President & General Manager, Education staff, and external contractors and vendors.
Responsibilities
- Prepare and monitor all season production budgets and create budget projections for new productions.
- Organize all production aspects related to Toledo Ballet performances, including but not limited to :
- Recruiting and coordinating volunteers according to production needs.
- Assisting in the organization, communication, and implementation of all production related activities such as auditions, rehearsals, photo shoots, call times, costume fittings, etc.
- Serve as the primary liaison to, and communicate with parents, students, volunteers and production crew via email, social media, mobile app, and other modes of communication as appropriate regarding productions.
- Assist the Artistic Director in creating and distributing rosters, cast lists, and production schedules.
- Coordinate marketing needs including program content, bios, headshots, etc.
- Collaborate with appropriate TAPA representatives regarding guest artist contracts, lodging, itineraries and performance venues.
- Draft contracts for guest artists and contracted vendors.
- Supervise and coordinate all logistics associated with the load-in, run and load-out of all productions.
- Attend rehearsals, liaise with artistic staff, and coordinate technical needs.
- Interface with contractors and hired services for each production such as costume designer, set crew, venue staff, etc.
- Serve as assistant stage manager for all Toledo Ballet productions.
- With input from the Artistic Director, schedule, attend, and document ballet production and operations meetings.
- Draft correspondence for Artistic Director approval.
- Prepare copy for production-related eblasts and other communications for TAPA marketing.
- Ensure the smooth operation of daily activities of Toledo Ballet programs.
- Offer additional support as needed for TAPA Education staff and faculty.

This position is full-time / exempt, in office with mostly daytime hours. Some nights and weekends, plus on-call availability, will be required from time to time.Paid leave includes five sick days, two personal days, your birthday, and at least 12 paid holidays.
