Executive Operations Coordinator Neighborhood LTC Pharmacy
Role Summary
The Executive Operations Coordinator is the organizational backbone for Neighborhood LTC Pharmacy’s leadership team. You’ll provide direct administrative and operational support to the Executive Team—keeping projects, meetings, and communication flowing smoothly across departments. This role ensures leaders can focus on strategic growth by managing schedules, documentation, travel, and follow-through on key initiatives. You’ll own repeatable workflows, track deliverables, and handle administrative tasks with precision, confidentiality, and care. In short, you make sure our executive team stays aligned, prepared, and effective every day.
Key Outcomes
- Leadership schedules, meetings, and communication flow seamlessly across departments.
- Action items and decisions are captured and completed on time.
- Travel, expenses, and administrative workflows are handled end-to-end with minimal leader involvement.
- Documentation, SOPs, and templates are current, organized, and accessible.
- Executives gain 8–12 hours of focused time weekly by removing recurring administrative load.
Core Responsibilities
Executive SupportManage calendars, meetings, and travel for multiple executives, ensuring seamless coordination.Prepare agendas, take notes, and drive follow-up on action items.Draft and edit internal communications, reports, and presentations from leadership notes.Maintain discretion and confidentiality when handling sensitive business and personnel information.Operations CoordinationSupport execution of key projects and recurring workflows (store openings, logistics, and compliance tracking).Coordinate vendor communication, quotes, and simple purchasing tasks.Ensure accountability on team deliverables by tracking deadlines and progress across departments.Documentation & ProcessMaintain up-to-date SOPs, templates, and onboarding materials.Keep organized records for leadership projects, policies, and quality initiatives.Develop and refine simple trackers or dashboards to monitor progress.Financial & Administrative SupportManage receipts, expense reports, and invoice routing in Bill.com.Assist with compliance documentation and audit preparation as needed.Why Join Neighborhood LTC Pharmacy?

3+ years of experience as an executive assistant, project coordinator, or operations support professional.Demonstrated ability to independently manage recurring workflows and close loops across multiple leaders.Exceptional organizational and communication skills with attention to detail.Discretion in handling confidential and sensitive information.Preferred : experience in healthcare, pharmacy, or regulated multi-state organizations.PI33b6c46b18d2-35196-38778551
