Executive Assistant – Wonderful Team!

A global private equity firm with an incredible, collaborative culture is hiring for an Executive Assistant to support a wonderful team of professionals (including one Senior Partner).  This role engages with all parts of the organization, so this individual must be collaborative and spend time building relationships and learning the firm’s processes and priorities.

Salary commensurate with experience : $130-150k base + discretionary bonus + great benefits (3 weeks vacation, fully paid benefits, 401k match)

Hybrid  – Midtown East NYC in office 4 days / week, remote Fridays

Hours :  8 : 45 / 9am-5 : 30 / 5 : 45 pm

Responsibilities

  • Schedule and coordinate various types of internal and external calls and meetings with numerous stakeholders.
  • Plan international & domestic travel, itineraries, and local transportation for business trips. Update calendars with details once confirmed.
  • Coordinate and manage lunch and dinner reservations.
  • Prepare and submit expense reports and reimbursements in a timely fashion (both company Amex and cash reimbursements) using Concur.
  • Organize, plan, coordinate, and manage the day-of activities for special projects and events.
  • Own the preparation of materials for certain meetings including binding decks as needed.
  • Prepare and organize notes for Advisory Board meetings alongside other admins.
  • Microsoft Office : Word, PowerPoint and Excel skills will be critical.
  • Answer “rolling calls” from the main phone line.

Qualifications :

  • Bachelor’s Degree required.
  • 6+ years supporting executives in financial services
  • Experience managing travel itineraries, meeting planning and conference calls (including different time zones)
  • Advanced proficiency in Microsoft Office (Excel, PowerPoint, Word) and Outlook.
  • Experience working closely with other admins as part of a team and comfortable taking direction from other Assistants.
  • Able to multi-task and pivot / reprioritize as new information emerges.
  • Thinks proactively and anticipates / sees around corners.
  • Uses critical thinking to solve problems.
  • Communicates with speed and transparency.
  • Strong attention to detail and uses discretion with confidential matters.
