The Administrative Assistant provides high-level administrative and operational support to clinic. This position serves as the primary liaison for internal and external stakeholders-including implant companies, attorneys, vendors, hospitals, departments and referring physicians-ensuring that all communications, schedules, and documentation are accurate, timely, and handled with the highest degree of professionalism and discretion.
Key responsibilities include : providing comprehensive administrative and clerical support to physicians, managing and synchronizing physician calendars, acting as the primary contact for implant companies, vendors, legal partners, and professional colleagues, coordinating and facilitating meetings, handling incoming calls, faxes, mail and correspondence, compiling and summarizing data for reports, metrics, and project tracking, assisting in the development and implementation of budgets, office procedures, and operational plans, monitoring and maintaining office supplies and equipment, assisting in scheduling referrals, new patients, and rescheduling patient appointments, coordinating all physician travel and conference / events logistics, assisting with invoicing, reimbursement, and reconciliation, collaborating with colleagues and leadership to support a high-performing, patient-focused environment, maintaining strict confidentiality of patient, physician, and organizational information, practicing and adhering to the code of conduct philosophy, mission, vision, and values in all interactions and decisions, performing other duties as assigned in support of the practice, leadership, and its physicians.
Knowledge, skills, and abilities include : strong understanding of business administration functions and workflows, advanced proficiency in Microsoft 365, demonstrated organizational and problem-solving skills, proven ability to work independently with minimal supervision, exceptional critical-thinking and decision-making skills, demonstrated adaptability and resilience in a fast-paced, high-volume environment with frequent changes and tight deadlines, strong interpersonal and communication skills, professional written and verbal communication, ability to maintain a positive and composed demeanor under pressure, high commitment to confidentiality, discretion, and integrity in handling sensitive information, skilled in the operation and maintenance of standard office equipment, proactive team player who contributes to a culture of collaboration, accountability, and continuous improvement.
Preferred experience includes : previous experience as an Administrative Assistant supporting senior executives or physicians in a high-level, fast-paced environment, background in healthcare administration, medical specialty, or surgical practice, experience with EHR or practice management systems.
