Northern Manhattan Rehab and Nursing Center is searching for an experienced secretary personnel member to work in a robust and dynamic nursing department. Candidates must be professional, punctual, and able to multitask.
RESPONSIBILITIES :
Carries out assignments from the Director of Nursing / Designee in an accurate and timely manner.
Promotes cooperative and collaborative relationships with residents, their families / significant others, health care team, vendors, and co-workers.
Input and transmit computerized data as appropriate, i.e. MDS, Medicare PRI, etc.
Operates fax, copier, and other office machine.
Duplicates reports, letters and other documents, copying equipment and mails or distributes copies within organizations, and outside agencies when instructed to do so.
Schedules appointments and meetings while re-routing visitors to their designated area.
Display professionalism while answering telephones and giving information within guidelines of nursing home regulations or referring major administrative or technical questions to appropriate officials.
Prepare nursing staffing schedules for the facility for all units and ensure that all units are adequately staffed based on identified needs.
Maintains accurate records on employee’s benefit / leave days.
Monitors schedule daily for absenteeism on all units and keep the DON / Designee appraised in a timely manner.
Pre-register and schedule resident appointments for outside services and follow up appointments with appropriate providers while maintaining the resident informed.
Arrange transportation / escorts for all resident appointments.
Uphold a professional relationship with outside agencies, hospitals, and partner facilities.
Keeping adequate paperwork for patients’ medical records
Prioritizing incoming and outgoing mail, faxes, and maintaining records / files
Abstracting, analyzing, auditing, and coding of all medical records in a timely manner.
Oversee the release of medical record information, archiving / storage of medical records, and transcription / dictation processing, while upholding HIPAA standards.
Responsive to the needs of the facility and that of the staff.
Maintains the confidentiality of all affairs in the nursing office.
Accepts work assignments according to the facility’s need.
QUALIFICATIONS :
High School Diploma or equivalent
Proficiency in Microsoft Office
At least two years of experience in clerical work with emphasis on proof reading, cross indexing and filing.
Excellent oral and written communication skills.
Attendance and punctuality must be excellent.
