The Operations Office Manager will be an integral part of our growing firm, overseeing daily office operations and ensuring smooth workflow across all administrative functions. This position requires someone who is highly organized, proactive, and able to thrive in a fast-paced environment.

You’ll work closely with our attorneys and manage the staff to maintain a positive office atmosphere and streamline processes that contribute to the success of clients and the firm.

Responsibilities :

• Manage and oversee daily office operations to ensure smooth and efficient workflow.
• Coordinate attorneys’ schedules, client appointments, and meetings to optimize time management.
• Serve as the primary point of contact for vendors and external partners.
• Handle incoming communications, including phone calls, emails, and vendor inquiries, with professionalism and care.
• Supervise and support administrative staff, ensuring proper delegation of tasks and maintaining team efficiency.
• Maintain client records, case files, and documents, ensuring compliance with legal standards and confidentiality.
• Organize office supplies, handle purchasing, and ensure all office equipment is properly maintained.
• Assist with billing, invoicing, and time tracking, ensuring accurate financial records.
• Coordinate HR functions, including recruitment, onboarding, and employee training.
• Foster a positive, collaborative, and efficient work environment within the office.
• Develop and implement office systems and processes to increase overall office productivity.
