Overview
We are seeking an Executive Assistant to serve as the right hand to our CEO. This is a unique opportunity to join a growing, pioneering firm in the financial services industry and work directly with a CEO who brings over 25 years of success and innovation in the capital markets. The ideal candidate is resourceful, independent, and proactive, with strong judgment and the ability to anticipate needs, solve problems, and improve efficiency. The role requires professionalism in a fast-paced, entrepreneurial environment, strong technology fluency, and the adaptability to work remotely and in our New York City office.
Key Responsibilities
- Act as liaison between CEO and broader firm to streamline communications, and delegate tasks across staff ensuring accountability, follow-through, and clear reporting back to the CEO (ranging from firm operations & administration to HR and strategic initiatives).
- Own CEO’s calendar management by proactively scheduling, reprioritizing, protecting focus time, and anticipating or resolving conflicts.
- Provide support in optimizing the CEO’s email and communication workflows (e.g., setting up rules in Outlook, or assist with drafting emails).
- Support CEO-led projects across business development, client retention, firm-wide operations, partnership & alliances, charitable initiatives, by conducting research, coordinating meetings, tracking follow-ups, and ensuring accountability with both internal and external stakeholders.
- Support with meeting preparation; attend select internal or external meetings and track follow-ups.
- Leverage technology and AI tools to drive efficiencies.
- Support development and refinement of various HR projects (processes, onboarding materials, employee handbooks, etc.).
Qualifications
Bachelor’s degree in a relevant field or equivalent combination of education and professional experience.At least 3 years of experience in a fast-paced or entrepreneurial environment; prior support to a CEO, founder, or senior executive preferred but not required.Exceptional organizational skills, with a demonstrated ability to prioritize and manage competing demands.Proactive problem-solver who anticipates needs before they arise.Strong communication skills, both written and verbal; able to represent the CEO professionally.Tech-savvy, with fluency in Microsoft Suite : Outlook, Word, Excel, PPT, Teams, and SharePoint.Ability to manage confidential information with utmost discretion.We offer a competitive compensation & benefits package
