Are you a dynamic office manager based in the Indianapolis area? Our Digital Marketing Agency client is seeking an office manager to handle bookkeeping, invoicing, accounts receivables, and administrative duties.
This position requires a detail-oriented individual with excellent organizational skills, strong numerical proficiency, and the ability to multitask effectively in a fast-paced environment.
You will play a pivotal role in ensuring the smooth operation of administrative functions and financial processes.
Portfolio Note : Candidates must have proven experience (3+ years) in bookkeeping, accounting, or office management roles in order to be considered for this role.
You Will :
- Put together monthly, quarterly, and annual financials for the company
- Perform administrative duties, including ordering office supplies and promo orders, and coordinating social events
- Assist with sales quotes and input signed agreements into CRM
- Maintain accurate records of financial transactions using accounting QuickBooks
- Process accounts payable and accounts receivable, including invoice creation, billing, and collections
- Prepare financial reports, budgets, and forecasts as instructed for management review
- Coordinate with external accountants for tax filings and audits
- Classify expenses and ensure proper allocation of costs to respective projects
- Monitor expenses against budget and report any discrepancies to management
- Oversee office operations, including office supplies procurement, equipment maintenance, and vendor management
- Coordinate meetings, appointments, and travel arrangements for staff members
- Manage incoming and outgoing correspondence, including emails and phone calls
- Maintain organized filing systems for both digital and physical documents
- Assist in HR-related tasks such as onboarding new employees and maintaining personnel records, job postings, meeting coordination, etc
- Serve as a point of contact for internal and external inquiries, providing excellent customer service
You Have :
- A degree in Accounting, Finance, Business Administration, or related field preferred
- Proven experience (3+ years) in bookkeeping, accounting, or office management roles
- Proficiency in accounting software, preferably QuickBooks, and MS Office Suite
- Excellent organizational and multitasking abilities
- Exceptional attention to detail and accuracy
- Effective communication and interpersonal skills
- A plus to have exposure to PaySimple, Dropbox Sign and WorkSmart Systems
