Job Summary
The Administrative Assistant will provide vital and highly-professional support to the Executive Vice President, Chief Culture and Administrative Officer and assist the Human Resources department and others in maximizing their efficiency by providing administrative support.
Performs a wide variety of tasks; contributes to process improvements. Acts as a resource for team members with less experience.
Demonstrates thorough working knowledge of specialized tasks and responsibilities. Relies on experience and exercises independent judgment to determine best approach to achieve desired outcomes.
Works under general supervision.
Duties and Responsibilities
- Supports the Executive Vice President, Chief Culture and Administrative Officer with a variety of administrative matters, including calendar management;
- drafting and / or revising documents (e.g., correspondence, agendas, presentations); completing monthly expense reports;
and coordinating travel.
Organizes and maintains departmental supplies and requests.
Coordinates onsite and offsite meeting planning including conference room reservations, meeting setup and implementation (including technology) and vendor management.
Provides necessary administrative support for, employment verifications, New Hire Orientation, employee Workday updates, other various HR administrative needs.
Plans and coordinates HR department events, coordinate candidate travel arrangements, and candidate expense reimbursements.
Provides high-touch support to employees during life events - i.e. handling of personal deliveries to individual employees such as food, florist, etc.
Demonstrates personal commitment to inclusion and diversity
Other duties as assigned.
Skills and Competencies
Extensive knowledge in database applications and redlining programs including Microsoft Excel, Word, Visio, PowerPoint, and Adobe Acrobat Pro
Excellent interpersonal, written, and verbal communication skills

Excellent organizational skills and ability to organize, prioritize and perform multiple and complex assignments / projects with only general supervision

Required Qualifications
High School Diploma or GED
Minimum of three (3) years of experience in an administrative assistant role
An acceptable pre-employment background and drug test.
Preferred Qualifications
Bachelor’s degree from an accredited college or university
Five (5) or more years of experience in an administrative assistant role strongly preferred
Physical Requirements and Working Conditions
Requires prolonged sitting, some bending and stooping.
Occasional lifting up to 25 pounds.
Manual dexterity sufficient to operate a computer keyboard and calculator.
