Overview : The primary responsibility of this position is to assist in completion of all administrative tasks assigned in functional departments throughout the organization as well as on company / client projects. Key responsibilities include interacting with our clients, our Associates, and our internal team members.
Responsibilities :
- Develop strong interpersonal relationships with external and internal customers
- Coordinate and document meetings, and follow through with deliverables
- Prepare PowerPoint presentation materials for internal and external meetings
- Monitor project status, project schedules, and budgets when necessary
- Prepare, organize, and distribute project-related items to project stakeholders
- Resolve any urgent project-related issues and be involved in company / client projects
- Report and escalate to management any administrative / project issues when necessary
Position Requirements :
Bachelor’s degreeBilingual skills (English and Spanish); fluency in English is a must!Two to five years of experience as an administrative assistant in a project-based or similar organization, preferably with a Civil / Structural engineering services firmExcellent written and verbal communication skillsStrong time management skillStrong working knowledge of Microsoft Office tools, cloud-based software, and / or project management toolsSolid organizational skills with attention to detail and multitasking abilitiesIdeal Candidate :
