Lange Logistics is currently looking for an Administrative Manager to join our Team.

In this position, the Administrative Manager will help provide excellent service to our growing clientele and to support our 3PL sales team. This position will encompass a dual role in accounts payable and accounts receivable and support our logistics and sales billing accounts. This person will work closely with the Vice President of Sales and Account Managers to meet the needs of the office.

This opportunity is available in the following location : St. Louis, MO.

Responsibilities :

  • Use Transportation Management System to set up payments to vendors.
  • Order entry as requested by the sales team.
  • Attach incoming vendor bills to orders for approval.
  • Check order entries against the original documents for error detection.
  • Assist with invoice age analysis.
  • Add new documentation materials to electronic file records as necessary.
  • Complete daily accounting entries as it relates to each assigned shipper along with inventory reconciliation.
  • Assist setting up customers / vendors for ACH payments.
  • Prepare account receivable invoices and post incoming payments.
  • Handle any potential billing or payment inquiries and resolve issues efficiently and effectively.
  • Ensure all delivered orders have obtained the necessary paperwork in a timely manner.
  • Assist on payables by performing the first step of a 2-step checks and balances system prior to approving payments.
  • General office activities : such as typing, filing, answering telephones, operating office machines, processing mail, and securing confidential materials.
  • Help to build and maintain a network of carriers and customers.
  • Correspondence with shippers / customers and carriers by email and phone to assist Account Manager when needed.
  • Mark orders as delivered within 24 hours of sales confirming so.
  • Other duties as assigned.

Basic Qualifications :

  • 5+ years of office manager experience.
  • 3+ years of experience in accounts payable / receivable.
  • 2+ years of experience using billing software systems.
  • Able to work in a fast-paced environment with multi-tasking ability.
  • Self-motivation and a sense of urgency.
  • Excellent communication skills and positive interactions with others.
  • Strong organization skills.
  • A strong work ethic and diligence in follow-through.
  • Excellent knowledge of Microsoft Office.
  • Experience using Scanner / Fax / Copier.
  • Multi-line telephone skills.
