JOB SUMMARY :
The Administrative Assistant II provides administrative and clerical skills to support administrators, faculty, and other professional staff members within the School of Medicine.
The position exercises limited independent judgment in coordinating the details of the office.
MAJOR RESPONSIBILITIES / DUTIES / CRITICAL TASKS :
- Provides budget and financial support including but not limited to reimbursements, purchasing, and travel.
- Completes monthly account reconciliations.
- Makes travel arrangements and reservations.
- Handles confidential information and sensitive issues requiring discretion.
- Maintains appointment calendar and schedule appointments.
- Maintains office filling system and / or databases.
- Orders and maintains supplies.
- Updates the departmental website for currency and accuracy of the information.
- Provides Administrative Assistant stand-in support as needed.
- Assists in coordinating and the set-up of workshops and conference activities.
- Supports departmental initiatives, events and activities in planning and execution.
- Performs an annual inventory of supplies and equipment.
- Greets and welcomes faculty, staff, donors, and other invited guests into the School of Medicine.
- Assists with hospitality efforts for hosted guests.
- Other duties as assigned.
ACCOMPANYING KNOWLEDGE, SKILLS, ABILITIES AND COMPETENCIES :
- Advanced proficiency using computers and office software packages.
- Working knowledge of databases.
- Must exercise confidentiality and discretion at all times.
- Ability to use appreciable independent judgment in coordinating the details of the School of Medicine.
- Consistently portray excellent interpersonal and communication skills.
- Demonstrated professional demeanor and appearance.
- Advanced organizational and professional skills leading to successful and timely task completion.
Qualifications
REQUIRED EDUCATION / EXPERIENCE :
- High School Diploma or equivalent.
- Three (3) years of experience in an executive or professional office setting, preferably in higher education.
PREFERRED EDUCATION / EXPERIENCE
- Bachelor’s degree is preferred.
- Three (3) years of experience in business account reconciliation and budget control preferred.
- Demonstrated proficiency with MS Excel, Word and Outlook and experience with different accounting systems.
- A combination of education and experience may be accepted.
