This position is a remote role, open anywhere throughout the United States. JOB SUMMARY Supports entire organization on ad-hoc purchase requests consistent with nationwide policy and performance standards.

This role regularly works across the ACS organization, including Corporate Center Business Units and Division based staff, to understand requirements and provide support for non-standard purchase requests.

The role also regularly interacts with members of the Supply Chain team to identify suppliers, negotiate pricing and ensure supplier compliance with ACS standards.

Acquires requested goods and services and ensures they are delivered to the right place at the right time. Responsible for managing incoming internal purchasing requests, clarifying requirements as needed, identifying suitable suppliers, obtaining pricing, executing Purchase Orders and tracking delivery of goods and services.

Responsible for utilizing approved systems including reverse auction tools and P2P system for intaking procurement requests, submitting and tracking all bids and purchase orders.

Responsible for managing local and regional bids, and supporting nationwide bids across a wide range of products. May work with established suppliers or may need to identify potential suppliers for unique goods / services.

May serve as category expert for one or more product categories or business units. Provides guidance and direction to internal customers and / or other buyers to ensure policy compliance.

MAJOR RESPONSIBILITIES

Manage intake process and tools to receive and clarify ACS staff ad hoc requests to procure goods / services. Goods / services may range across all types of ad hoc goods and service.

Examples include from carpet for Facilities to cars and vans for Hope Lodges to unique promotional items to support Distinguished Events.

  • As required, may support Sourcing in management of 3rd party freight suppliers and provide insights into logistics requirements and cost saving opportunities.
  • Competitively identify appropriate local or regional suppliers when an established nationwide supplier solution does not exist.
  • Responsible for selecting and negotiating with suppliers in compliance with established ACS Procurement Policy and established supplier solutions.
  • Leads and manages reverse auctions and standard bidding process with suppliers.
  • Conducts bid review and supplier selection in conjunction with business.
  • Issues purchase orders in response to product or service requirements established by various departments; as necessary manages order changes and / or cancellations.
  • Provides guidance and direction to internal customers and other buyers as needed; future potential to directly manage a small team of buyers (1-2).
  • Creates contracts as required for local or regional suppliers.
  • Uploads contracts as required to procurement platform.
  • Determine the lowest cost method to ship products.
  • Coordinate the delivery of goods, material, services, supplies, etc for Divisions and Corporate Center.
  • Track orders and take appropriate corrective action where necessary to assure on time delivery.
  • Acts as a liaison between the Divisions, Supply Chain, Accounts Payable and / or Suppliers to resolve questions / concerns / escalations regarding ordering and delivery of goods and services.
  • Create required reports, communications and status updates.
  • Assist with managing supplier relationships
  • Interact with cross-functional team members
  • Provide product, spend, and supplier information to category managers as requested; assist with category management as assigned
  • Utilizes approved auction and P2P tools to capture quotes, purchase and to track all external orders.
  • Acts as subject matter expert (SME) in use of companys P2P system.
  • Creates, audits and conducts periodic reviews of hosted and print shop catalog items. Identifies low use items and suggests new items.
  • Works closely with other Supply Chain team members to provide and analyze purchasing data around products, trends, seasonal spend, etc.
  • Maintains a high level of communication between Procurement and requestors regarding purchases and delivery.
  • Will assist with other work assigned on an as needed basis.
  • Dedication to providing high quality service to all internal stakeholders.
  • Team player that develops and maintains effective working relationships with internal and external business partners.

Position Requirements

FORMAL KNOWLEDGE

Bachelors Degree required.

OTHER SKILLS

Minimum 5+ years working in a purchasing environment, conducting supplier and market research and managing bid process;

preferably has experience purchasing multiple categories.

  • Experienced negotiator with understanding of formal bid processes
  • Ability to gather and analyze statistical data and generate reports
  • Basic knowledge of finance, accounting, budgeting, and cost control procedures
  • Experience in bidding and evaluating costs of print jobs a plus.
  • Experience in logistics management and bidding logistics services a plus.
  • Flexible with the ability to quickly learn and master new areas
  • Skill in organizing resources and establishing priorities
  • Ability to make decisions and apply sound business judgment
  • Experience purchasing from nationwide, regional, and local suppliers across a wide range of products.
  • Ability to work well with others in a deadline oriented environment
  • Ability to effectively manage day-to-day interaction with, liaison between, and coordination of a wide range of internal and external constituencies involved in purchasing activities.
  • Ability to build relationships and provide strong customer support to internal clients
  • Possess a positive and proactive ('can do') attitude.
  • Self starter with outstanding work ethic, detailed oriented, motivated with commitment to quality and teamwork
  • Excellent customer service, interpersonal, organizational, and oral and written communication skills.

SPECIALIZED TRAINING OR KNOWLEDGE

  • Experience utilizing advanced P2P systems, electronic Purchasing tools and reverse auction systems (experience with Coupa a plus)
  • Skilled negotiator with experience managing formal bid process
  • Proficient with Microsoft Office.

The full compensation range established for this position begins at a minimum of $60,000 annually.* Actual starting pay may differ based on non-discriminatory factors including, but not limited to, geographic location, experience, skills, specialty, and education.
