The Administrative Assistant supports the operations of the Catalina Island Health Foundation (CIHF) by providing a wide range of administrative, clerical, and donor-relations support to the Chief Development Officer (CDO) and the Foundation Board. This position plays a key role in ensuring the smooth and efficient operation of the Foundation office, maintaining donor records, coordinating meetings and events, and serving as a professional and courteous point of contact for donors, board members, and community partners.

Essential Functions
Provide day-to-day administrative support to the Chief Development Officer and Foundation Board.Manage scheduling, calendars, and meeting coordination, including preparation of agendas, minutes, and supporting materials.Serve as the primary as the primary contact for the Foundation office, handling calls, emails, and visitor inquiries with professionalism and discretion.Assist with donor stewardship activities, including tracking and acknowledging gifts, maintaining accurate donor records, and preparing thank you letters or receipts.Support fundraising initiatives by maintaining and updating the donor database, generating reports, and tracking donor engagement activities.Prepare correspondence, reports, presentations, and other materials as requested by the CDO.Coordinate logistics for Foundation events, including board meetings, fundraising events, and community outreach activities.Support communication efforts, including newsletters, donor mailings, and website or social media updates related to Foundation activities.Handle confidential information with discretion and maintain a professional demeanor at all times.Knowledge, Skills, and Abilities
Excellent organizational and time management skills; able to manage multiple priorities and deadlines.Strong written and verbal communication skills and attention to detail.Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with donor management or CRM systems (e.g., Blackbaud / NXT, Raiser's Edge) preferred.Strong interpersonal skills and ability to work effectively with leadership, board members, and volunteers.Event coordination experience is a plus.Education
High School Diploma or equivalent required.Bachelor's degree preferred.Experience
Minimum 2 years of experience in an administrative or executive support role, preferably in a nonprofit or healthcare setting.Experience supporting fundraising, donor relations, or community engagement preferred.Pre-Employment Requirements
