Executive Administrative Analyst

Founded in 1964, New York Blood Center Enterprises (NYBCe) has provided more than 60 years of lifesaving research, innovation, and impact. NYBCe is one of the largest nonprofit blood centers, spanning 17+ states and serving 75 million people. NYBCe operates Blood Bank of Delmarva, Community Blood Center of Kansas City, Connecticut Blood Center, Memorial Blood Centers, Nebraska Community Blood Bank, New Jersey Blood Services, New York Blood Center, and Rhode Island Blood Center, delivering one million blood products to 400+ U.S. hospitals annually. NYBCe additionally delivers cellular therapies, specialty pharmacy, and medical services to 200+ research, academic, and biopharmaceutical organizations. NYBCe's Lindsley F. Kimball Research Institute is a leader in hematology and transfusion medicine research, dedicated to the study, prevention, treatment and cure of bloodborne and blood-related diseases. NYBC serves as a vital community lifeline dedicated to helping patients and advancing global public health.

The Executive Administrative Analyst provides high-level, professional administrative and operational support to the Vice President of Enterprise IT and senior IT leadership. This role combines advanced administrative functions with data analysis, operational process improvement, and project coordination. The position serves as a key liaison between senior IT leadership and internal and external stakeholders, ensuring the smooth operation of department activities through proactive communication management, budget tracking, data reporting, and strategic coordination. The Executive Administrative Analyst exercises independent judgment and discretion in managing sensitive information, prioritizing tasks, and solving complex administrative and operational challenges.

Candidates must be able to report into one of the following NYBCe locations : New York City, NY; Kansas City, Missouri; St. Paul, Minnesota; Providence, RI and Newark, DE.

Executive Support & Communication Management :

  • Manage complex calendars on behalf of the VP and senior IT leadership, including scheduling meetings, coordinating travel, and handling meeting logistics.
  • Draft, edit, and manage communications on behalf of the VP and senior IT leadership, including email correspondence, presentations, and internal memos.

Budget & Financial Tracking :

  • Monitor and track departmental budgets, invoices, and expenditures.
  • Assist in financial forecasting, reconciliation, and preparation of financial reports
  • Data Analysis & Reporting :

  • Collect, analyze, and interpret data to support departmental decision-making.
  • Prepare regular and ad hoc reports, dashboards, and data visualizations.
  • Operational Analysis & Improvement :

  • Evaluate departmental workflows and propose improvements to increase efficiency and effectiveness.
  • Implement administrative process enhancements and track outcomes.
  • Project Coordination :

  • Support planning, execution, and monitoring of departmental and cross-functional projects.
  • Track milestones, prepare updates, and coordinate team contributions as required.
  • Support organizational quality efforts by accepting responsibility for :

  • Reporting any problems relating to the product, process and quality system.
  • Participating in the implementation of solutions to problems.
  • Other Secondary Functions :

  • Serve as a liaison between the Enterprise IT office and other departments or external partners.
  • Assist with IT department meeting coordination, including preparation of agendas, minutes, and follow-ups.
  • Maintain departmental records and ensure document compliance with institutional policies.
  • Participate in special initiatives or task forces as assigned.
  • Perform other duties as assigned in alignment with organizational needs.
  • Qualifications

    Education :

  • Bachelor's degree in business administration, Public Administration, Information Systems, or a related field.
  • Required Experience :

  • Minimum of three (3) years of progressively responsible experience in administrative analysis, operations, or related work.
  • Preferred Experience :

  • Experience supporting executive leadership in a technology or enterprise IT environment.
  • Experience with enterprise systems (e.g., ERP, budgeting tools, data reporting platforms).
  • Any combination of education, training and experience equivalent to the requirements above that has supplied the necessary knowledge, skills, and experience to perform the essential functions of the job.

    Licenses / Certification :

  • Relevant certifications in project management, data analytics, or administrative services are a plus.
  • Knowledge :

  • Familiarity with budget tracking and financial reporting practices.
  • Skills :

  • Exceptional written, verbal, and interpersonal communication skills.
  • Strong organizational, analytical, and problem-solving skills.
  • High level of proficiency in Microsoft Office Suite (Excel, Outlook, PowerPoint, Word) and collaboration tools (e.g., Teams, Zoom, SharePoint).
  • Abilities :

  • Ability to manage multiple priorities, meet deadlines, and work independently with minimal supervision.
  • Discretion and judgment in handling confidential and sensitive information.
  • Ability to synthesize complex data into clear, actionable insights.
  • Demonstrated commitment to continuous process improvement and customer service excellence.
  • Ability to work effectively with diverse teams and stakeholders across all levels of an organization.
  • For applicants who will perform this position in New York City or Westchester County, the proposed annual salary is $80,000.00p / yr. to $90,000.00p / yr. For applicants who will perform this position outside of New York City or Westchester County, salary will reflect local market rates and be commensurate with the applicant's skills, job-related knowledge, and experience.

    Position reporting into our New York location : $80,000 - $90,000

    Positions reporting into our Rhode Island location : $72,000 - $82,000

    Positions reporting into our Minnesota location : $72,000 - $82,000

    Position reporting into our Delaware location : $65,000 - $75,000

    Positions reporting into our Nebraska location : $65,000 - $75,000

    Positions reporting into our Missouri location : $65,000 - $75,000
