Surgery Scheduler
Job Location : Urology Clinics of North Texas, Dallas, TX
Position Summary
The Surgery Scheduler is responsible for coordinating and scheduling surgical procedures for the providers at Urology Clinics of North Texas. This role ensures accuracy, efficiency, and a high level of patient-focused service when arranging surgeries, obtaining authorizations, and preparing all required documentation. The Surgery Scheduler works closely with physicians, clinical staff, patients, and outside facilities to ensure a smooth and well-organized surgical experience.
Key Responsibilities
- Schedule surgical procedures for multiple urology providers across various hospitals and ambulatory surgery centers.
- Confirm surgeon availability, operating room time, and required equipment.
- Coordinate pre-operative and post-operative appointments.
- Provide patients with detailed surgery instructions, preparation steps, and logistical information.
- Verify insurance benefits and obtain prior authorizations for all scheduled surgeries.
- Communicate with insurance companies, documenting authorization codes and approvals.
- Inform patients of estimated financial responsibilities, when applicable.
- Communicate surgery details to patients, physicians, clinical teams, and facility personnel.
- Ensure accurate documentation of surgery orders, consents, referrals, medical records, and diagnostic results.
- Track and update surgery schedules, cancellations, and reschedules.
- Maintain HIPAA compliance and practice confidentiality standards.
- Provide compassionate support and clear communication regarding surgical processes.
- Answer patient questions and respond to concerns in a timely manner.
- Assist with special accommodations, or pre-op testing as needed.
- Monitor daily surgery schedules and provider calendars.
- Ensure all required pre-op tests, labs, imaging, and clearances are completed prior to surgery.
- Collaborate with billing staff on coding, insurance issues, and authorizations.
Qualifications
Required :
High school diploma or equivalent.12 years of surgery scheduling or medical office experience (urology experience preferred but not required).Knowledge of medical terminology, insurance, and authorization processes.Strong organizational skills and attention to detail.Excellent communication and interpersonal abilities.Proficiency in EMR systems (NextGen) and Microsoft Office.Preferred :
Experience scheduling in a specialty clinic (urology, general surgery, orthopedics, etc.).Familiarity with hospital scheduling systems.Bilingual (English / Spanish).Work Environment & Physical Requirements :
Fast-paced clinical office environment. Frequent computer use and telephone interaction. Occasional lifting of patient charts and office materials up to 10 lbs.
