Order Processor

Liofilchem, Inc., located in Waltham, MA is the US distribution center of Liofilchem, an Italian based manufacturer of diagnostics for microbiology, certified to ISO 9001 and 13485, whose product ranges include MIC Test Strip, antibiotic discs, broth microdilution panels, culture media, bio-indicators and more, used in over 160 Countries.

At Liofilchem, Inc. we are looking for an Order Processor professional, with abilities in order entry, warehouse and shipping, in addition to capabilities in basic accounting / bookkeeping tasks.

Job Duties

The following outlines the primary responsibilities of the position :

Customer Service

• Front line, customer facing position requiring excellent phone manner.
• Accurate documentation and updating of customer records.
• Generating quotes, entering purchase orders, processing orders, issuing invoices.
• Escalating customer issues or complaints to management when necessary.

Inventory Management and Logistics

• Understanding warehousing, inventory control and transportation processes.
• Placing and tracking intra-company orders.
• Shipping, receiving, sorting and storing product as required.
• Shipping experience using major carriers (ie UPS / FedEx) applications.

Additional accounting / bookkeeping tasks :

• Manage accounts payable and accounts receivable.
• Prepare bank reconciliations monthly.
• Other accounting / administrative tasks as assigned.
• Make business deposits and records cash receipts.
• Collect and pay supplier invoices in a timely manner.
• Ensure that receivables are collected promptly.

Office duties :

• Answering and direct all incoming phone calls and emails, maintaining paper and electronic files.
• Manage office needs.
• Maintain and order office supplies.
• Handle daily accounting mail, including notices and disbursements, and tracks due dates for all expenses (rent, insurance, payroll, telephone, etc.).
• Prepare and send all outgoing mail including certified, overnight and special deliveries.
• Prepare shipping labels, place items into packages and prepare items for shipment.

Skills and competencies :

• Excellent verbal and written communication skills.
• Usage of ERP systems such as QuickBooks, EDI (TrueCommerce), Microsoft office.
• Ability to operate specialized equipment typically used in warehousing.
• Strong attention to details, following instructions from verbal and written procedures.
• Knowledge of Quality system requirements preferred.
• Ability to effectively read, write and verbally communicate in English. Strong communication skills.
• Two (2) years experience in warehousing, shipping / receiving, or deliver or related work.
• Ability to perform repetitive motions including standing, walking, lifting, and bending for 8-hour shift.
• Must be able to lift up to 50 lbs.
• Knowledge and experience with Inventory Management Systems preferred.
• Must work with a high level of accuracy and possess excellent organizational skills.
• Be a self-starter with the ability to work with little supervision.
• Must be willing to generate new ideas for continuous improvement without being prompted.
• Must have a sense of urgency, with strong time management skills.

Education :

• High School Diploma or GED Required
