Administrative Assistant Ii
We are looking for a detail-oriented Administrative Assistant II to join our client's team in Hillsboro, Oregon. In this long-term contract position, you will play a critical role in ensuring seamless operations by providing administrative support and serving as the primary point of contact for clients and visitors. Responsibilities :
- Greet and assist clients, ensuring they are directed appropriately and not left unattended, while maintaining a welcoming and secure environment.
- Register clients for appointments using Epic EMR, verifying their information for accuracy and compliance.
- Provide comprehensive answers to patient inquiries about appointments, records, and services to minimize barriers to accessing care.
- Screen and route incoming calls, including urgent and sensitive matters, to the appropriate staff or department.
- Triage time-sensitive calls from medical providers to ensure timely responses and prevent delays in service delivery.
- Process incoming invoices by reviewing for accuracy, verifying required documentation, and obtaining necessary approvals.
- Assign invoices to the correct purchase orders and budget codes, tracking payment status to avoid late fees.
- Maintain continuous coverage at the front desk, managing walk-ins, deliveries, and urgent administrative needs.
- Monitor visitor activity at the building entry point to uphold security and safety protocols.
- Support operational continuity by handling scheduling, intake tasks, and other administrative responsibilities to assist senior staff.
Requirements :
Proven experience in administrative support or office assistance roles.Proficiency in answering inbound calls and directing them appropriately.Familiarity with data entry and maintaining accurate records.Competence in scheduling appointments and managing calendars.Experience with Epic EMR or similar electronic medical record systems.Bilingual skills in English and Spanish highly preferred.Ability to manage multiple tasks efficiently in a fast-paced environment.Excellent communication and interpersonal skills for client and team interactions.
