Job Summary
The
Permit Technician & Customer Service Representative plays a vital role in supporting both current and prospective customers while ensuring permitting and licensing compliance across all projects. This position manages a high volume of inbound and outbound calls, works extensively within our CRM and 360-contract systems, and serves as a liaison between customers, municipalities, and internal departments.
This role requires a positive, energetic, and detail-oriented professional with a strong customer-first mindset. The ideal candidate is organized, proactive, and capable of troubleshooting issues while ensuring clear communication and timely resolution.
Key Responsibilities
Compliance & Licensing
- Maintain licensing compliance by managing Certificates of Insurance (COIs), qualifier information, and address updates
- Ensure all compliance documentation remains current and accurate
Permit Management
- Create, submit, and monitor all permit records within the 360-contract system
- Track open, expired, pending, and approved permits across all municipalities
- Apply for all required permits within 30 days of contract signing, pending HOA approval
Document Preparation & Upload
- Upload all prepared documentation into the 360 system
- Prepare digital floor plans and measurement sheets for each contract
- Gather and coordinate required permit forms for qualifier and homeowner signatures prior to submission
Tracking & Reporting
- Track and manage the status of all active permits
- Record, maintain, and report permitting data for weekly recap and leadership meetings
Customer Service & Support
- Manage a high volume of inbound and outbound customer calls
- Schedule appointments and accurately document customer data within the CRM
- Troubleshoot product and service issues by identifying root causes, coordinating solutions, and following up to ensure customer understanding and satisfaction
