Salary : $16 - $18
The intake coordinator-administrator is responsible for providing customer service assistance to prevent and resolve problems linked with treatment services for TSS's sister company, Intensive Intervention, throughout the greater Atlanta community.
Minimum Qualifications, Education & Experience :
- 1 year of experience as an Intake Coordinator or Administrator
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) (Required)
- One year of experience working in a behavioral healthcare environment (a plus)
- Bachelors Degree from an accredited college or university is a plus
- A minimum of one year of counseling experience in the social services industry with proven results is a plus; behavioral health is highly preferred.
- Experienced in customer service, scheduling, and referral processing in a social services environment.
- Possess an equivalent combination of education and experience and the ability to communicate clearly and concisely in writing and orally.
- Has general knowledge of community resources and the ability to aid in the companys success and growth.
- Strong attention to detail and ability to meet tight deadlines
- Self-motivated
- Ability to multitask and prioritize well while under pressure
- Perform internal monitoring and auditing (a plus)
Duties Include :

Referrals will be screened to determine eligibility for services
POE and client assignments are completed within 24 hours
Insurance will be verified by the 6th of each month
Office Maintenance
Open and close the Atlanta office dailyRetrieve referrals from BHL, fax, email, and phoneAnswer incoming calls and emails to Trinity Social Services and provide information regarding treatment services and employmentScan / Upload documents into CareLogic Document LibraryEnsure demographic and financial information within CareLogic is accurate :Process Releases of InformationAssessments
Obtain demographic and treatment history information and indicate on the appropriate documents within CareLogicReceive phone calls, faxes, and emails regarding requests for treatment services from referral sourcesComplete the required documentation for Medicaid ClientsAssign initial behavioral health assessments to Assessors based on availability and service areaEnter referral statistics in the Management WorksheetUpdate the Referral Tracker tab in the Management WorksheetAssign assessments to the AssessorUpload authorization information into CareLogic for initial servicesUpdate staff relationships for assigned clientsReceive consents via email and upload them into the Document LibraryHospitals / Hospital Discharge
Receive phone calls from families, clinicians & discharge plannersDocument behavioral health hospital admissions on Memo to Chart with Hospital activity codeDocument hospital discharges on Memo to Chart with Hospital discharge activity codeClinic
Schedule appointments for the Psychologist, Nurse Practitioner, and NurseCreate orders for services associated with treatment at least two days before the clinicReview consent documents with clients in need of updates and / or missing consents, obtain signatures, scan / upload documents into the Document LibraryObtain the Release of Information (ROI) for communicating with the PCPReview and obtain signatures on Treatment PlansDisseminate client surveys and retrieve completed surveysDischarges
Notify clinicians with inactive insurance of the need to close / transition the chartConduct follow-up satisfaction surveys with individuals who have been dischargedComplete administrative discharge for individuals with open charts but no servicesComplete discharge summary associated with the clientJob Type : Contract
