Staff Assistant I
The College of Natural and Health Sciences at The University of Tampa has a position for a Staff Assistant I in the Departments of Biology, Chemistry and Biochemistry, Physics and Astronomy and Environmental Studies. This position reports to the college dean.
Responsibilities
- Provide administrative support to department chairs and faculty. Sort and distribute mail. Maintain and order departmental supplies. Manage the scheduling and access for the supported department spaces in multiple buildings. Orient and assist new part-time faculty to departmental resources.
- Type, record, verify, and obtain signatures and submit documentation for purchase orders, and check requisitions. Coordinate purchasing with instructional staff in supported departments, and reconcile overall budget with multiple purchasers. Maintain records of department funds (revenue and expenses) and oversee budget allocation for individual courses within broader departmental budgets. Assist faculty in making official travel plans and receiving reimbursement.
- Coordinate hiring and work assignments for multiple student workers. Coordinate student work schedules with faculty and instructional staff. Coordinate, organize and implement all departmental special events including graduation receptions, open houses, community outreach events, departmental lunches and meetings, departmental orientation events.
- Record, type, proof, copy and distribute meeting agendas and minutes for all program meetings including advisory council, program planning, faculty meetings and subcommittee- basic science, didactic, clinical and admissions.
- Other duties as assigned by department chairs and Dean. Contribute to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures and backgrounds.
Qualifications
High School Diploma or equivalent required; AA / AS degree preferred.At least 2 years of high-level clerical experience in higher education / professional environment or equivalent.Proficiency with MS Office. Familiarity with learning management systems as well as basic computer functions.Working knowledge of office equipment. Ability to handle multiple tasks. Demonstrated good oral, interpersonal and organizational skills as well as the ability to establish priorities and manage time wisely.Knowledge of or the ability to quickly learn software programs such as Workday and Microsoft Office.Willingness to embrace new technologies and innovative organizational practices.Required Attachments
