Position Overview

The Grants Accountant is primarily responsible for supporting all accounting functions related to all revenue and expense documentation associated with grants, financial measurements for reporting as required by various funding agencies, all related entries to the general ledger and the various receivable sub-ledgers, presentation of expense summaries and reconciling actual activity to budget for each program.

Essential Duties

• Managing the full life cycle of individual grant proposals and awards within established tracking and reporting systems, including coordination, preparation, submission, and administration, sometimes with complexity and fast turnaround.
• Review Grant and Contract Agreements to ensure accuracy of setup of agreement in the financial systems
• Review, at least annually, process and procedure documentation to ensure it is current for grant accountant level work, mentoring and educating junior staff
• Create documentation to support monthly cash draws from funding agencies, reconciling allowable costs and funding agency exclusions / limits to ensure accuracy of funds drawn
• Prepare monthly fringe salary workbook with salaries and benefits for upload to the monthly grant invoices in collaboration with the Grants Accountant
• Monthly monitoring of staff hours in comparison to budget for each grant, ensuring accuracy of reporting to grant leaders for effort level discrepancies
• Reconcile related balance sheet and income statement general ledger accounts
• Participate in a team environment to prepare EOM & EOY financial statements
• Review income statements related to each project and report variances monthly
• Serves as Finance Department liaison to other organizations as required for identification of issues and resulting need to identify solutions, developing relationships with partner organizations participating on a joint project
• Participates in preparation of schedules for the annual and interim audit as well as any agency ad hoc audits or financial reviews
• Works with the Manager, Grants & Payroll and / or Other Finance Leaders to answer auditor questions
• Ensure compliance of all grant related financial reporting requirements, providing ad hoc reports as needed for analysis, reporting issues and discrepancies to the Manager, Grants & Payroll
• Create monthly grant / contract invoices in collaboration with Grants Accountant
• Lead reconciliation of the Grants Receivable sub-ledger to the general ledger monthly, correcting any discrepancies found
• Reconcile the Payroll Labor Distributions to the payroll expenses charged to the grants and record adjusting journal entries to make corrections as needed
• Pursues collections of delinquent grant accounts
• Partners with the Manager, Grants & Payroll, and other OCHIN departments as needed for the submission of reports required from funding agencies
• Serves as an extra resource when needed within the department
• Accurately completes special projects, high volume functions along with constant client and people skill maintenance
• Performs position-specific job functions at an acceptable level
• Accurately tracks time in accordance with processes established at the organizational level
• Other duties as assigned

Work Location and Travel Requirements

OCHIN is a 100% remote organization with no physical corporate office location. Employees work remotely from home and many of our positions also support our member organizations on-site for new software installations. Base Pay Overview

OCHIN uses broadened pay ranges to support equitable and market-aligned compensation practices. For this role, the typical offer range falls between the minimum and midpoint of the pay range. The final offer will be based on a variety of factors, including relevant skills, certifications, education, experience, training, responsibilities, internal equity, and market data.
