Job Title : Administrative Assistant – Commercial Property Management
Location : Miami Downtown / Brickell area, FL
Salary Range : Up to $75,000 / year (depending on experience)

Position Summary
We are seeking a proactive, organized, and customer-focused Administrative Assistant to support our commercial property management team. This individual will act as the right hand to the Property Manager , ensuring smooth daily operations, strong tenant and vendor relationships, accurate documentation, and consistent service excellence across our portfolio of commercial and mixed-use properties.
Key Responsibilities
- Provide comprehensive administrative support to the Property Manager, including calendar management, meeting coordination, and preparation of correspondence and reports.
- Act as the primary tenant liaison—respond to service requests, follow up on issues, and maintain positive tenant relations.
- Support leasing and renewal processes by assisting with lease drafts, renewals, and new tenant onboarding.
- Maintain and organize property files including leases, vendor contracts, certificates of insurance, permits, and construction documentation.
- Coordinate with vendors, contractors, and city departments to ensure project timelines, inspections, and permitting requirements are met.
- Assist with billing, invoicing, and tracking of accounts receivable and vendor payments.
- Generate and distribute reports on occupancy, lease expirations, tenant activity, and maintenance projects.
- Maintain efficient office systems including digital filing, CRM updates, and tenant communication logs.
- Welcome and assist tenants, visitors, and vendors to ensure a professional and positive experience.
- Support tenant events, community initiatives, and property improvement projects as needed.
Required Skills & Qualifications
Minimum of 3–5 years of administrative or property-management support experience (commercial property experience preferred).Strong customer service and interpersonal skills with the ability to communicate effectively with tenants, vendors, and internal teams.Highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.Proficiency in Microsoft Office (Word, Excel, Outlook) and comfort with property management software such as Yardi or OneSite.Ability to handle confidential information and sensitive documents with discretion.Self-motivated, proactive, and dependable with a team-oriented mindset.High school diploma required; associate or bachelor’s degree in business, real estate, or a related field preferred.Must be available to work in the downtown Miami or Brickell area full-time.Preferred Qualifications
Experience supporting commercial, office, or retail properties.Familiarity with lease administration, tenant move-ins / move-outs, and vendor management.Experience coordinating with city permitting departments or assisting in construction administration.Bilingual in English and Spanish preferred.Familiarity with the Miami market and commercial property operations.What We Offer
