The University of Miami / UHealth Department of Orthopedics Sports Medicine is currently seeking a full time Sr. Clinical Program Coordinator to work in Coral Gables, FL.

The Senior Clinical Program Coordinator acts as a lead in the development, organization, production, and evaluation of a variety of health promotion and educational program offerings for patients in the assigned unit.

Moreover, this employee provides a broader oversight to daily program activities in support of the University’s mission.

The Senior Clinical Program Coordinator evaluates the financial performance of programs to meet departmental goals and assist in the development of short- and long-range budgetary planning.

CORE JOB FUNCTIONS

Supervises, directs, and coordinates assignments for the given program.

Trains, develops, and empowers staff to effectively perform their jobs.

Evaluates program effectiveness, analyzes results, and recommends appropriate action.

Coordinates program activities with other program, department or staff activities, ensuring optimum efficiency.

Acts as a main point of contact for project funders, advisors, speakers, and participants, and recruits program participants, members, and volunteers.

Oversees various personnel actions, including but not limited to, hiring, performance appraisals, disciplinary actions, termination, employee time records, and other related activities.

Develops cooperative relationships with patients and families by projecting a positive image and creating a professional atmosphere.

Develops program communications and promotional literature for distribution, including newsletters, brochures, and flyers.

Prepares and presents periodic reports, financial statements, and records for management or outside agencies.

Makes suggestions to leadership including the process changes that will improve overall performance.

Maintains required records and reports statistics for administrative, quality assurance, and safety and control purposes.

Maintains patient confidentiality as well as the confidentiality of hospital business information.

Oversees the maintenance of established supply levels in unit and supply rooms.

Adheres to University and unit-level policies and procedures and safeguards University assets.

CORE QUALIFICATIONS

Education :

Bachelor’s degree in relevant field

Experience :

Minimum 3 years of relevant experience

Any appropriate combination of relevant education, experience and / or certification may be considered.

Department Specific Functions

Responsible for the Department of Orthopaedics OR (operating room) management. This includes monitoring, maintaining, and improving utilization and the release of block time Attend OR leadership meetings on behalf of the department

Create and implement protocols for surgical scheduling- insurance authorization approval for surgical cases received, and OR utilization protocols where needed.

Train department surgical schedulers on protocols in place and ensure compliance

Assist with the onboarding of physicians to the OR in collaboration with OR site leaders

Responsible for oversight for the Department of Orthopaedics in-patient and ambulatory OR procedures including insurance PA initiation and authorization, scheduling procedure date, arranging pre-admission testing / clearance and orders (COVID-19, toxicology, bloodwork), scheduling first postop appointment, and providing patient with admission details and instructions.

Responsible for the division of Sports Medicine’s in-patient and ambulatory OR procedures including insurance PA initiation and authorization, scheduling procedure date, arranging pre-admission testing / clearance and orders (COVID-19, toxicology, bloodwork), scheduling first postop appointment, and providing patient with admission details and instructions

Serve as the liaison between the providers and the OR team, submitting detailed case orders and coordinating equipment for use in the OR

Maintains faculty OR calendars, adjusting schedule according to departmental need and faculty request

Manage physician escalations as it relates to surgical scheduling

Provides back up support for triage desk for post-op patients.

Answers incoming patient calls, routing based on urgency, answering / resolving routine requests

Responds to patient inquiries, compliments or complaints promptly and troubleshoot problems for quick resolution ensuring patient satisfaction Coordinates with hospitals and vendors for special cases or circumstances including lining up appropriate surgical representatives from surgical instrumentation companies to ensure any necessary supplies and reps are present on the day of surgery

Ensures documentation is complete to support accurate billing of surgical procedures

Works with other members of the Department of Orthopaedics to strategically assign OR time to various surgeons within the department

Cooperates with departmental leadership to maximize reimbursements, including adjusting authorizations, assisting with retro-authorizations, etc.

Receives and processes paperwork from patients including leave forms, disability requests, and other documentation
