What a typical day looks like
You start the morning by welcoming visitors, making sure they’re signed in and set up with PPE, and preparing meeting rooms. You’ll then shift into coordinating calendars, answering calls, and keeping correspondence organized. As the day picks up, you’ll update digital and physical files, publish weekly reports for sales and operations, and help the team stay on track with projects and deadlines. Throughout, you’ll manage timekeeping accuracy, PTO and absentee records, and keep office supplies and documentation (including drawings and quotes) in order—always with professionalism and discretion.
Key responsibilities
- Serve as the first point of contact : greet customers and visitors, manage sign-ins, PPE needs, and guest registration in the designated check-in system.
- Answer phones, route correspondence, and schedule meetings.
- Prepare, proof, and distribute internal communications, reports, and presentations.
- Maintain and organize files, records, and databases (digital and physical).
- Log and file drawings and quotes; track and replenish office supplies.
- Compile and publish weekly reports for sales and operations teams.
- Arrange travel, process expense reports, and coordinate meeting logistics (including rooms and meals).
- Support project coordination and follow up to ensure deadlines are met.
- Develop and maintain PTO and absentee schedules and records.
- Oversee timekeeping to ensure accuracy.
- Handle confidential information with discretion and professionalism.
- Pitch in on additional administrative tasks as needed to support the team.
What you bring
Education : High school diploma or equivalent; an associate or bachelor’s degree is preferred.Experience : 3+ years in administrative or office support.Technical skills : Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook) and / or Google Workspace.Communication : Clear written and verbal skills.Organization : Strong prioritization and time management.Benefits
