CAIR San Francisco Bay Area is seeking a detail-oriented and mission-driven candidate for its Operations Coordinator position. This role will serve as the first point of contact at our Santa Clara office while also supporting the organization's internal systems in finance, HR, IT, and facilities. The ideal candidate will bring experience in office operations, vendor coordination, and HR / finance support, and will thrive in a fast-paced, mission-driven nonprofit environment.
Title : Operations Coordinator
Location : Based in CAIR's Santa Clara office. In-person, five days per week
Schedule Type : Part-time (Non-Exempt). This is a fixed schedule of 8 : 00am–12 : 00pm, Monday through Friday, and daily attendance during these hours is required . Occasional evenings and weekends may also be required
Job Term : This is a one-year position with the po tential for renewal dependent on performance and funding
Reporting Relationships : Reports to the Operations Manager
Work Authorization : Must be authorized to work in the United States
Duties & Responsibilities :
Office & Facilities
- Serve as the first point of contact for visitors as well as phone and email inquiries
- Ensure reception and shared office spaces are welcoming, clean, and aligned with office protocols
- Support facilities management, including property maintenance, supply orders, and vendor coordination
- Take initiative to address day-to-day operational needs, stepping in as needed to keep the office environment safe and functional
- Assist with vendor relationships, contracts and purchasing , obtaining executive signatures as needed
Human Resources Support
Support recruitment efforts by posting jobs, screening resumes, and scheduling interviewsEnsure employment law postings are current and visible in the officeInformation Technology
Provide basic troubleshooting support to staff and coordinate with IT vendorsEnsure systems are functional and staff have timely support for tech needsEmployee Engagement & Culture
Support employee recognition initiatives and team-building activitiesHelp implement standards that foster professionalism, inclusion, and well-beingAll CAIR staff are required to assist in general duties such as answering phones, weekly outreach, and other office tasks.
Required Qualifications :
At least two years of professional experience in operations or a related roleStrong organizational and time management skills with attention to detailConsistent punctuality and reliabilityEffective verbal and written communication skillsProven ability to exercise discretion, maintain confidentiality, and set appropriate professional boundariesFlexibility and willingness to take on both routine and unexpected tasks, including facilities and office management needsProficiency with Microsoft Office Suite, Outlook, SharePoint, and AdobeAbility to work in a fast-paced, multicultural environmentValid driver's license, vehicle, and ability to travel throughout the Bay AreaDeep commitment to CAIR-SFBA's mission to defend civil rights and build community powerPreferred Qualifications :
Prior experience as an operations coordinator or receptionistNonprofit work experience, especially in community-based or faith-based settingsProficiency in a second language such as Arabic, Farsi / Dari, Urdu, or SpanishCompensation :
