Grants And Finance Manager

Third Sector New England, Inc. (TSNE) is working to build a more just, equitable society. We do this by providing capacity building services, consulting and training services, and operational support for hundreds of nonprofits, foundations, community-based groups, and others working for social change. The Grants And Finance Manager (GFM), works with a portfolio of Fiscally Sponsored Organizations (FSOs) in alignment with our Fiscal Sponsorship Agreement and is a member of the Finance and Accounting Team. For each FSO in their portfolio, the GFM leads a cross-functional (HR, Legal, Accounting, Finance) group, ensuring internal coordination, communication, and collaborative problem-solving. For their FSOs, the GFM provides strong client relations, pre-award and post-award grants and contracts management, and financial reporting, advising, and management. GFMs work to ensure fiscal health, full-cycle grants administration, and compliance with all requirements and regulations in order to help FSOs build their financial capacity and advance their missions. The GFM provides services that are timely, accurate, and effective while building positive and productive relationships with FSOs. Lastly, the GFM supports both internal and FSO capacity building efforts.

Essential Functions

Grants and Contracts Management 40%

  • Pre-Award

Review grant and fee for service proposals and ensure budget alignment and accuracy.

  • Vet subrecipients and subcontractors; lead risk assessments for subrecipients of federal awards.
  • Manage and submit federal applications on behalf of FSOs.
  • Post-Award
  • Review and approve new grant and fee for service award agreements.

  • Determine revenue recognition and billing plan for fee for service contracts.
  • Set up new awards and budgets in our systems, with assistance from the Grants and Finance Associate(s).
  • Ensure compliance with funder requirements and applicable regulations; escalate compliance issues or legal questions.
  • Monitor spending against budgets and restrictions; plan and manage payroll allocations and administrative allocations based on availability and allowability.
  • Complete journal entries and justifications as needed to make adjustments.
  • Review and approve AR billing invoices.
  • Monitor subawards and review their reports; assess sub-award risks.
  • Prepare financial reports for grants and contracts with support from Grants and Finance Associate.
  • Ensure grants are closed out on an accurate and timely basis.
  • Fiscal Sponsorship : Organizational Financial Management and Client Relations 40%

  • Review FSO expenses for accuracy, availability of funding, compliance, and allocations to funding sources and programs (AP transactions, expense contract requests, personnel increases).
  • Work with Fiscal Sponsorship Accountant to ensure timely and accurate processing of payables, receivables, deposits and billing.
  • Review FSO annual budgets and assist with financial plans.
  • Prepare and distribute monthly financial reports with analysis for FSOs.
  • Plan and lead monthly finance / accounting check ins and biannual team meetings with FSOs.
  • Help FSOs to understand their financial statements and implications of financial decisions through analysis and projections.
  • Analyze and monitor FSO cash balances to ensure adequate reserves. Escalate potential challenges and recommend solutions to address cash balance issues.
  • For each FSO, lead a cross-functional (HR, Legal, Accounting, Finance) group, ensuring internal coordination, communication, and collaborative problem-solving around FSO issues and delivery of services.
  • Document and address issues requiring attention and / or further discussion with FSO and / or supervisor.
  • Evaluate FSO relationship; strategize around service to FSO and future of FSO; ensure best possible service to FSOs in alignment with the grants and finance aspects of the FSO Fiscal Sponsorship Agreement.
  • Along with TSNE colleagues, help FSOs build their management capacity.
  • Ensure that FSOs are operating in compliance with the Fiscal Sponsorship Agreement (FSA).
  • Provide grants and finance leadership for FSO onboarding and offboarding.
  • Support special program or financial audits, FSO-specific registrations, or tax forms as needed for FSOs.
  • Provide coverage for other GFMs as needed.
  • Fiscal Sponsorship : Operations and Program Support 20%

  • Share learnings with colleagues to help develop the overall capacity of the fiscal sponsorship program.
  • Help to identify FSO training needs and support TSNE's FSO trainings.
  • Respond to TSNE audit requests as needed.
  • Participate in internal initiatives / teams to help drive process improvement or manage cross-functional work (such as program evaluation, equity and inclusion, training initiatives, new system implementations, workflow creation, meeting planning, etc.);
  • Collaborate internally around areas related to expertise / interest.
  • Support Finance and Accounting Team and Fiscal Sponsorship Program as needed.

  • At least four or more years or relevant experience.
  • Knowledge of nonprofit funding, basic accounting, and federal grant management highly preferred.
  • For candidates without an accounting background, an interest in learning.
  • Ability to build effective relationships and trust with stakeholders including colleagues and external partners.
  • Excellent written and verbal communication skills, with demonstrated diplomacy, professionalism, and the ability to manage expectations.
  • Ability to manage up, down, and across, and lead others without formal authority.
  • Self-starter with a strong sense of ownership; initiative to proactively troubleshoot, think critically, identify potential problems, and resolve challenges.
  • Ability to thrive in a fast-paced work environment, work flexibly, and adjust as needed.
  • Strong proficiency with data and technology, including accounting software, spreadsheets, data management systems, and CRMs (Salesforce, Sage Intacct, ADP, Concur, Microsoft Office suite a plus).
  • High attention to detail.
  • Project management skills including developing and maintaining plans and adherence to deadlines.
  • Curious, eager to learn, and awareness of when to seek and offer clarification, assistance, or input.
