Admin Coord Volunteer Svc MHO
Reports to the Director of Operations. Under general supervision and in accordance with department guidelines, recruits, orients, places, and monitors volunteers in the hospital. Ensures that new volunteers have met all hospital volunteer requirements and paperwork prior to placement and remain current. Maintains the volunteer data base and website. Assists visitors in the department and provides clerical support as needed for departmental initiatives.

Recruits, orients, places, and monitors hospital volunteers by :
Marketing, organizing, processing, and coordinating volunteer orientation sessions including presentation of information at the orientation.Interviewing, screening, and placing volunteers in appropriate volunteer jobs. Providing job preparation for each assignment.Ensuring that department procedures are followed, and mandatory volunteer requirements are met prior to volunteer placement and on an ongoing basis.Maintaining the volunteer data base and tracking hours of work including recording student hours for scholarship requirements.Assuring that proper volunteer records (i.e., references, training, health, and safety) and documentation are maintained within the department. Also assisting with the maintenance of department documentation that is required by various regulatory agencies.Preparing volunteer badges.Creates a monthly newsletter that includes organization, hospital, and departmental information to ensure volunteers are up to date on information occurring across Beacon.Coordination of the volunteer recognition event that occurs twice yearly.Serving as a liaison between hospital staff and volunteers; rounding to assure compliance with hospital requirements and in alignment with organizational values.Capturing and inputting volunteer information into the volunteer data base.Managing information on the volunteer web site to include updating service offerings and orientation dates and coordinating changes with Marketing.Coordinating special projects and preparing data, reports, and graphs.Working in conjunction with Patient Care leaders to coordinate efforts of volunteers to meet each department's needs.Maintaining an awareness of hospital policies and procedure that effect volunteer activities and recommending new policies, procedures, and practices to the Director.Assists with Mini Medical University for Teens Program by :
Creating program layout and informational material.Scheduling one information session and three program sessions for Mini Med. Responsible for reserving appropriate classrooms to host.Communicating with associates, leaders, and / or medical staff at Memorial Hospital to conduct a presentation(s) during three scheduled session of Mini Med program.Applying for funding sources through Beacon Foundation for scholarship applications.Oversees the entire application process for Mini Med. Included but not limited to updating, posting, sharing, gathering, and reviewing all applications to program.Places applicants according to their availability and open spaces in on of three program sessions. Provides communication to students and guardians regarding their acceptance.Recruits, trains, and schedules two to three counselors per Mini Med session to aid in day-to-day responsibilities.Corresponds directly with all students and guardians via email and / or phone about expectations, program outline, and Beacon policies.Responsible for ordering supplies, materials, and food for program.Direct oversight of summer intern (if applicable) to ensure the success of the Mini Med program. Assigns special projects during tenure directly related to the volunteer department.Supports the activities of the department by :
Purchasing and distributing all supplies and / or materials for department and designated service areas within the volunteer scope.Works directly with Beacon Foundation on grant proposals and grant tracking.Researching problems and providing resolution in a timely manner. Also responding to both requests and complaints from department staff and volunteers.Performing diversified duties specific to the department needs.Performs other functions to maintain personal competence and contribute to the overall effectiveness of the department by :
Completing other job-related duties and projects as assigned.Attends Beacon Academy or other related education to keep up with leadership development.Self identifies areas of growth and seeks out appropriate development accordingly.ORGANIZATIONAL RESPONSIBILITIES

The knowledge, skills and abilities as indicated below are normally acquired through the successful completion of a high school diploma. An associate degree in business or a related area preferred. A minimum of two to three years of related experience (i.e., in a responsible position requiring well-developed customer service and organizational skills) is required. Previous experience working with volunteers is preferred.Knowledge & Skills
Requires a detailed knowledge and understanding of department policies, procedures, and hospital operations in order to appropriately place and prepare volunteers for volunteer assignments.Requires well-developed organizational skills and the ability to work effectively with minimal supervision, pay close attention to details, prioritize workload, perform multiple tasks simultaneously and meet deadlines.Demonstrates proficiency in secretarial and computer skills (i.e., word processing, spreadsheets, and database applications) and an understanding of specialized computer systems utilized within the department.Demonstrates the interpersonal and communication skills (both verbal and written) necessary to articulate ideas clearly and concisely, to develop and maintain positive working relationships, to make effective presentations and to interact effectively with a wide range of internal and external contacts in a variety of situations.Working Conditions
