The Role

Thornton Tomasetti's Kansas City office is looking for a receptionist to provide operational support, to be the face of an ambitious office, and work with extraordinary engineers who design the world's tallest buildings.

The receptionist must be proactive, creative, and enjoy working in a collaborative team player environment. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative and organizational skills, and the ability to maintain a balance of multiple priorities and deadlines.

Responsibilities

  • Supports members of the management team and other internal / external personnel
  • Schedules / maintains conference room schedule
  • Monitors Security Guest List and visitor access to building
  • Orders food for weekly staff lunches, meetings, seminars, etc.
  • Serves as point of contact for vendors
  • Processes mailing of all internal / external correspondence
  • Ensure office cleanliness for client meetings and daily staff use
  • Maintains record keeping and filing (e.g. databases, submittal logs, etc.)
  • Greets internal / external personnel either in person or via telephone
  • Types, edits, and corrects documents and correspondence (e.g. reformatting Microsoft Office documents, etc.)
  • Assists other administrative assistants as needed

Requirements

  • Associate's degree required.
  • 2+ years of related experience providing administrative support in an office environment.
  • Proficiency in Microsoft Office (Outlook, Teams, Word, Excel, and PowerPoint).
  • Excellent communication and time management skills; proven ability to meet deadlines.
  • Collaborative, proactive, team-oriented experience and approach.
  • Reasonably flexible hours as required by team members.
  • Ability to function well in a high-paced environment; willingness to perform additional duties as assigned.
