Position Overview : We are seeking an experienced Administrative Assistant to support our technical staff and contribute to the overall productivity of our team. The ideal candidate will have 3–5 years of administrative experience within an engineering or architectural firm, demonstrating strong organizational, communication, and technical skills.
Key Responsibilities :
Provide professional administrative support to assigned technical staff, collaborating with all team members to maintain an effective and productive environmentAccurately and efficiently produce letters, memos, specifications, spreadsheets, and other documents using Microsoft Word, Excel, PowerPoint, Outlook, Bluebeam, and Deltek VantagepointPrepare correspondence and drawings for delivery, courier, or distributionManage information for large commercial building programs, including filing paper and electronic documents, drawings, emails, and other client / project-related informationUpdate company database (Deltek Vantagepoint) with client and project informationMaintain project schedules, status, and close-out documentationMake travel arrangements and prepare itineraries for assigned staffMaintain Outlook calendars for assigned staff, including meetings, appointments, training, and travelTrack travel and expense receipts and assist with expense reportingCoordinate breakfast or lunch for training sessions or staff meetingsAssist with routine front desk coverage for office support mattersSupport the productivity of the administrative team through close interaction, workload coordination, and assistance with overflow tasksUphold a professional attitude and work ethic, contributing to the positive image of the firmQualifications :
3–5 years of administrative experience in an engineering or architectural firm (preferred)Strong computer skills, including proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and BluebeamExceptional organizational skills with the ability to multitask, perform under pressure, and manage multiple deadlinesOutstanding written and verbal communication skills, attention to detail, and a positive attitudeMotivated self-starter, capable of working independently and as part of a teamAbility to handle confidential information with discretionProfessional communication skills with all levels of staff, clients, and vendorsCode Consultants, Inc. is an EEO / AA Employer.
