Job description

Position : Benefits Coordinator

Location : Waltham, MA

Pay : $27-32 / hr

Contract : 3+ months

Benefits : This position is eligible for medical, dental, vision, and 401(k).

The Benefits Coordinator is responsible for the day-to-day administration of employee benefits programs. This role serves as a point of contact for employee inquiries, ensures compliance with regulations, and helps manage the annual enrollment process. The specialist works to provide excellent service and support to both community-based and corporate employees.

Key Responsibilities

Benefits Administration and Support

  • Act as the primary contact for employees regarding questions about health insurance, retirement plans (401(k)), leave of absence, and other benefit offerings.
  • Administer the annual open enrollment process and manage benefit changes for new hires, terminations, and qualifying life events.
  • Collaborate with external vendors, such as insurance carriers and retirement plan administrators, to resolve employee claim and eligibility issues.
  • Maintain accurate employee benefit information in the Human Resources Information System (HRIS).
  • Conduct benefits orientations to inform new hires about their options and the enrollment process.

Compliance and Reporting

  • Ensure all benefit programs comply with federal and state regulations, including the Affordable Care Act (ACA), COBRA, and ERISA.
  • Prepare necessary data and documentation for plan audits and other reporting requirements.
  • Assist in preparing various reports related to benefits utilization, costs, and other key metrics.
  • Wellness and Communications

  • Help create and distribute benefit and wellness communications to employees using various mediums, such as email, printed materials, or the company intranet.
  • Support the coordination and administration of health promotion and wellness programs.
  • Skills and Qualifications

  • Bachelors degree in human resources or a related field is typically required, along with prior experience in benefits administration.
  • Proficiency in Microsoft Office, particularly Excel, is essential for data analysis. Experience with benefits administration software or an HRIS is a plus.
  • Excellent verbal and written communication skills to interact effectively with employees and vendors.
  • Ability to handle sensitive and confidential information with discretion.
  • Strong analytical and organizational skills to manage multiple tasks and deadlines effectively.
