POSITION TITLE: ASSOCIATE II REPORTS TO: BUILDING PRINCIPAL
OVER-TIME STATUS: NON-EXEMPT PAY GRADE: 106
JOB SUMMARY:
Performs intermediate skilled clerical work performing a variety of secretarial and clerical tasks in an office environment; does related work as required.
ESSENTIAL DUTIES:
Serving as secretary to a supervisor; greeting visitors and answering telephone, providing information; preparing and maintaining files and records.
- Serves as receptionist; answers telephone, provides program information, takes and dispatches messages;
- Interviews visitors and refers to proper authority for disposition;
- Responds to inquiries about programs, qualifications, test requirements, procedures and policies;
- Types general correspondence, memorandum, reports, schedules, contracts, purchase orders and other materials from rough draft, copy, marginal notes or verbal instruction;
- Maintains appointment calendar, schedules appointments and meetings;
- Checks and reviews a variety of data for accuracy, completeness and conformance to established standards and procedures;
- Collects and prepares data for records and reports;
- Maintains computerized records and generates appropriate reports;
- Makes arithmetical calculations; requisitions supplies and materials for department;
- Maintains text book lists, mailing lists, files and card indexes;
- Operates standard office, word processing and data processing equipment;
- Performs related tasks as required.
JOB SPECIFICATIONS/PHYISCAL REQUIREMENTS:
Thorough knowledge of standard office procedures and protocol; ability to operate multi-line telephone system; ability to speak clearly and to understand and follow written and oral directions; ability to operate standard office and personal computer equipment; good keyboarding skills in word processing, data entry and typing; ability to type accurately and at a reasonable rate of speed; ability to effectively manage multiple tasks simultaneously; good interpersonal communication skills with ability to handle difficult situations/individuals; understanding of public education administrative organization preferred.
This is sedentary work requiring the exertion of up to 10 pounds of force occasionally and a negligible amount of force frequently or constantly to move objects; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken work levels; visual acuity is required for preparing and analyzing written and/or computer data, determining the accuracy and thoroughness of work, and observing general surroundings and activities. The worker is not subject to adverse environmental conditions.
EDUCATION AND EXPERIENCE:
Any combination of education and experience equivalent to graduation from high school; previous clerical and office experience.
