Job Summary

This job is in the General Office job family (Department), which covers positions the duties of which are to perform general office work auxiliary to the work of the organization.

This includes clerical or administrative support position in the office, operating independently of any other such position in the office.

The duties require knowledge of clerical and administrative procedures and requirements, various office skills, and the ability to apply such skills in a way that increases the effectiveness of others.

The duties do not require a technical or professional knowledge of a specialized subject-matter area.

Job Function

  • Responsible for overall administrative operations and management of administrative staff and / or systems.
  • Leads a variety of office-oriented tasks to ensure effective office operations and business support.
  • Ensures the maintenance of a working office environment and services by managing day to day office operations and administrative procedures, controlling correspondence, designing filing and documentation systems, managing supplies, and assigning and monitoring clerical functions.
  • Performs a wide range of administrative and office support activities for organization’s management to facilitate efficient operations.
  • Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
  • Implements office policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments.
  • Contributes to business strategy by helping business leaders with the management of various ongoing administrative programs, developing program guidelines and documentation and managing outside vendor relationships.
  • Implements procedures for retention, protection, retrieval, transfer, and disposal of records.
  • Leads, coaches, and mentors a team of administrative professionals while managing resource allocation and staffing and acts as a further escalation point for unresolved or escalated requests and / or issues.
  • Ensures compliance with all internal and external administrative policies and procedures.
  • Assists in the development, recommendation, and implementation of administrative policies and procedures.
  • Recommends continual improvements in efficiency of administrative tools and services performed and re-evaluates them for cost effectiveness.
  • Promotes feedback mechanisms to influence the continuous improvement of administrative services and tools.
  • Responsible for adhering to safety processes and protocols.
  • All other duties and responsibilities assigned by management.

Required Skills

  • 0-5 years of relevant experience or any equivalent combination of education and experience that provides the required knowledge, skills, and abilities required.
  • High School diploma / GED required, Bachelor degree preferred.
  • Knowledge of administrative management principles and practices required.
  • Ability to understand / discuss business and administrative concepts and convey information to a broad audience required.
  • Ability to manage projects and assignments with high level of autonomy and accountability for results required.
  • Strong computer proficiency and working knowledge of Microsoft applications (Outlook, Excel, Word, PowerPoint), as well as general office software platforms, Outlook calendaring, internet based search engines, and as standard office equipment required.
  • Broad knowledge of clerical and administrative procedures and systems required.
  • Proven customer service excellence required.
  • Strong analytical and problem solving skills required.
  • Ability to multi-task, prioritize, and manage time effectively required.
  • Ability to exercise discretion when handling sensitive / confidential information required.
  • Excellent oral and written communication skills required.
  • Ability to initiate and maintain cooperative relationships with co-workers, management, as well as internal / external customers required.
