Administrative Assistant
We are partnering with a precision manufacturing client specializing in high-demand, regulated industries (defense and government contractors) to find a skilled and highly reliable Administrative Assistant. This is a pivotal role that requires exceptional proficiency in the Microsoft Office Suite, especially Excel. Duties and responsibilities :
The Administrative Assistant will handle complex administrative functions and support executive staff, the finance team, and vendor operations.
Executive Coordination : Provide direct administrative support to the CEO and CFO, assisting with schedule management, correspondence, and high-priority administrative tasks.
Advanced Data & Reporting : Utilize Microsoft Excel (advanced functions) to assist the CFO with financial data entry, light reporting, spreadsheet management for budgeting, and data analysis.
Vendor and Procurement Coordination : Manage communications and administrative tasks related to vendors and procurement, ensuring smooth operations for supply chain and materials flow in the manufacturing environment.
Travel and Logistics : Manage travel logistics for executive staff, including scheduling flights, booking accommodations, and expense reconciliation.
Marketing Support : Coordinate administrative tasks and scheduling for the marketing team, assisting with the preparation of materials and presentations.
General Administration : Handle all daily administrative functions, including preparing for meetings, managing office supplies, file organization, and ensuring professional office operations.
Experience and qualifications :
Software Proficiency : Proven, exceptional proficiency in the entire Microsoft Office Suite, with expertise in Microsoft Excel (e.g., pivot tables, VLOOKUP, complex formulas) being mandatory.
Administrative Background : Minimum of 3+ years of stable administrative experience, ideally supporting a finance department or working within a manufacturing environment.
Discretion and Professionalism : Demonstrated ability to handle confidential financial and operational information with the highest level of discretion.
Communication : Strong verbal and written communication skills required for interacting with executive staff and external vendors.
Reliability : Must be highly reliable, organized, and capable of managing multiple priorities under a deadline.
Preferred skills (a plus, but not required) :
Experience in a heavily regulated manufacturing or defense-related environment.
Experience with ERP or inventory management systems.
Compensation / Pay Rate (Up to) : $21.00 - $23.00
