Summary :
Provide professional and courteous administrative support to both internal and external customers.
PRIMARY DUTIES AND RESPONSIBILITIES
- Answer telephone, disseminate information or resolve questions, and / or route calls to appropriate individual. Take messages and coordinate follow through.
- Receive, sort and distribute the mail
- Carry out administrative duties such as filing, typing, copying, binding, scanning etc. (i.e. Apprentice hours, phone listing, safety paperwork, time cards, application packets)
- Prepare and modify documents including correspondence, reports, drafts, memos and emails.
- Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
- Request, track, and scan insurance certificates for vendors and subcontractors
- Prepare panel schedules as directed by the Project Management Department.
- Generate, track and scan Master Subcontractor Agreements to ensure compliance with company policy.
- Resolves administrative problems by preparing reports, analyzing data, and identifying solutions.
- Ability to research, provide information and materials and work on special projects as assigned.
- Fill in for other Assistants when needed.
Qualifications :
