Our team continues to grow, and we are seeking a highly organized Commercial Projects Coordinator to support our Project Managers and keep our commercial construction projects running smoothly, accurately, and on schedule.
Position Summary
We are looking for a proactive, detail-driven Commercial Projects Coordinator who thrives in a fast-paced environment and enjoys bringing structure to complex projects. This role provides administrative and operational support to our project management team and requires the ability to manage multiple priorities across different departments.
You will play a key role from bid acceptance through project closeout-coordinating documentation, tracking vendor invoicing, verifying accuracy of purchased items against project POs, and communicating directly with vendors and internal teams to ensure successful project delivery.

Key Responsibilities
Support MEP commercial projects from startup through closeout, including documentation, vendor coordination, and billing accuracy.
Perform data entry in project management, accounting, and tracking systems.
Assist Project Managers with field-team-related tasks such as verifying timecards and project labor entries.
Maintain clear, proactive communication with PMs, alerting them to issues or items requiring attention.
Manage project documentation, subcontractor compliance, and change order tracking.
Track Certificates of Insurance, bonds, permits, and expiration timelines; support closeout processes.
Prepare and assemble project closeout packages, O&M manuals, and required GC documentation.
Communicate project status, risks, and updates with internal teams and clients.
Support invoicing accuracy, warranty tracking, and various administrative tasks as needed.
Qualifications
High school diploma or equivalent required; additional education a plus.
2–3+ years experience in project coordination or administrative support- commercial construction experience strongly preferred .
Proficiency in MS Office and project-related systems (Procore, QuickBooks, Sage, or similar).
Strong attention to detail with a commitment to accuracy in documentation and reporting.
Excellent organizational, time-management, and problem-solving abilities.
Strong written and verbal communication skills; able to work professionally with internal teams, clients, and subcontractors.
Self-motivated, reliable, and comfortable working in a fast-paced environment with shifting priorities.
Familiarity with contracts, COIs, submittals, change orders, and other construction compliance documentation.
