Schedule : Core business hours around : 7 : 30am-4 : 30pm or 8am-5pm Monday - FridayLocation : 100% onsite : MinnetonkaType : Contract to hire; they are looking for a long-term / permanent person!Pay : $24-27 / hr ($50K-$56K / yr) depending on experience levelResponsibilities :
Admin Support - Manage incoming calls; sort and distribute mail; greet and assist visitors; maintain organized filing systems and records; and respond to routine information requests.Scheduling & Calendar Coordination - Support the management of executive calendars; schedule meetings; send reminders and prepare meeting materials; and assist with new employee onboarding.Communication - Draft and revise correspondence, reports, RFPs, and other documents; proofread for accuracy, grammar, and formatting; collaborate with TailWind legal on forms and templates; and develop spreadsheets and presentations as needed.Database Oversight - Accurately enter and update data in company systems; maintain confidentiality and data integrity; and generate basic reports upon request.Inventory and Facilities Management - Monitor and replenish office supplies; maintain relationships with current vendors and evaluate new products; ensure office equipment and facilities are functioning properly; arrange repairs; and serve as the primary contact for office-related requests.Meeting & Event Coordination - Assist with planning and coordinating internal meetings, trainings, and events for employees, clients, and vendors; support conference logistics; and help execute employee, client, and vendor appreciation events.Travel Organization - Coordinate travel arrangements, prepare itineraries, and process expense reports and reimbursements.Collaboration - Act as a liaison between departments, clients, and stakeholders; manage internal communications and announcements; and handle routine inquiries and information requests.Requirements :
Minimum of 2+ years of experience as an Administrative Assistant.Experience supporting executive leadership and assisting with event planning.Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and standard office technology.Strong data entry and typing abilities (recommended 50+ WPM).Experience coordinating meetings, including preparing agendas, taking minutes, and arranging logistics.Knowledge of office facilities management and vendor coordination.Ability to manage time effectively, prioritize independently, and meet deadlines.Strong organizational skills and attention to detail.Benefits :
