Join our dynamic Inside Sales team as a Sales Order Coordinator, where you will play a crucial role in optimizing sales operations and enhancing the customer experience. This vital position offers support to Sales Representatives throughout the entire sales process, from identifying potential leads and preparing detailed quotes to tracking orders and providing exceptional post-sales assistance.
You will work in close coordination with the Sales Team, vendors, and various internal departments to effectively meet customer needs, all while ensuring we maintain our target profit margins. Our product offerings include Domestic and Municipal Water Booster Pump Systems, Wastewater, Circulator, Well & HVAC Pump Systems, Water Heaters, Power Equipment, and related components. Responsibilities may vary and expand as the business evolves.
Key Responsibilities :
- Analyze project specifications to spot quoting and bidding opportunities.
- Collaborate with Sales Engineers and Sales Representatives to generate precise quotes for equipment and parts.
- Organize and maintain electronic files, sales opportunities, and campaign records efficiently.
- Accurately enter and update Sales Quotes, Sales Orders, and Purchase Orders in our Navision system.
- Place orders with factories or vendors, ensuring comprehensive and accurate documentation.
- Work alongside Sales Engineers to send product submittals to customers.
- Draft Installation Operation and Maintenance manuals for client use.
- Coordinate with the Accounting Department for credit verification and timely billing support.
- Communicate effectively with vendors, Sales Representatives, and customers to monitor order status and guarantee on-time delivery.
- Maintain accurate order information in Navision, including shipment details and tracking notes.
- Review vendor acknowledgements and invoices for accuracy, resolving any discrepancies promptly.
- Update Service Item Cards for all sold equipment.
- Schedule equipment start-ups, owner training sessions, and commissioning activities smoothly.
- Assist customers by addressing order-related queries, returns, and documentation requests.
- Support the Warranty Manager in managing warranty claims and follow-up actions.
- Keep both electronic and paper files organized in compliance with company policies.
- Manage inventory for stocked items and execute related sales transactions efficiently.
- Provide backup assistance to team members as necessary.
- Handle other duties as assigned to enhance the overall success of the sales operations team.
Education and Experience :
A college degree is desirable; equivalent experience will also be considered.A minimum of two to three years of prior order administration experience is required.Specific Qualifications :
Outstanding interpersonal and customer service skills.Ability to multitask and effectively manage deadlines.Excellent verbal and written communication skills in English.Highly detail-oriented and organized.Strong proficiency in Word, Excel, and Outlook is required.Familiarity with Navision is a plus.Experience with Customer Relationship Management (CRM) systems is desirable.Physical Demands :

Compensation : Salary ranges from $65,000 to $75,000 annually.
