Our client, a leader in commercial real estate, is seeking a highly organized and experienced Space Planner / Move Manager to join their team in Santa Clara, CA . This is a full-time, onsite position operating 9 : 00am-5 : 00pm that may require evening and weekend hours . This position starts as a 4-month contract opportunity . This role offers the opportunity to support a fast-paced, client-focused environment. The Space Planner / Move Manager will play a critical role in coordinating moves of various sizes, optimizing space utilization, and ensuring seamless communication and execution across all stakeholders. This role is ideal for a hands-on professional who excels at managing complex move projects, leading teams, and delivering exceptional workplace solutions.
Key Responsibilities
- Serve as the primary point of contact for moves of varying size and complexity.
- Lead RFQs / estimates and scheduling for medium and large moves requiring external vendors.
- Coordinate and manage daily team activities; establish work schedules, assign tasks, and cross-train staff.
- Set and track departmental deadlines; mentor, coach, and support team members.
- Respond to short-notice customer requests related to relocations and changes; maximize occupancy and space utilization.
- Lead clean-up efforts before and after moves.
- Provide formal supervision including training, development, performance evaluations, and participating in hiring processes.
- Communicate closely with internal and external teams to maintain strong coordination throughout move activities.
- Submit Purchase Requests and obtain Purchase Orders as needed.
- Audit after-hours relocation work to ensure smooth transitions for client occupancy.
- Oversee move project schedules and budgets; provide regular progress updates and escalate issues as needed.
- Direct processes related to client meetings, finances, health & safety, and contractor support programming.
- Lead all move-related communications, including email announcements.
- Ensure documents, drawings, and standards meet regulatory requirements.
- Conduct regular workstation audits, including flex desk setup, people locations, and furniture condition.
- Model behaviors aligned with company values and influence stakeholders to achieve shared goals.
- Integrate knowledge of space planning and move management with other teams to achieve broader departmental objectives.
- Identify, troubleshoot, and resolve day-to-day issues, including moderately complex challenges outside standard processes.
Qualifications
Experience managing move-related projects in a corporate or commercial environment.Bachelor’s degree preferred with 3–5 years of relevant experience; equivalent education / experience considered.Demonstrated experience coordinating large commercial moves with external vendors.Experience in staffing, training, coaching, mentoring, performance management, and retention preferred.Strong communication skills with the ability to handle sensitive or complex information.Proven leadership skills with an ability to motivate teams and enhance departmental performance.Strong proficiency in Microsoft Office Suite.Extensive organizational skills and a highly inquisitive, solutions-focused mindset.Budget management experience required; strong math skills including percentages, fractions, and financial calculations.Preferred Skills
Proficiency in Microsoft Office (Word, Excel, Outlook).General computer proficiency.Experience with SAP and CAD design software is a plus.
